Contract Event Planner (Maternity Leave Coverage)
Position: Event Planner (Contract)
Hours: 15-25 hours per week, Monday-Friday (Central Time Zone, flexible schedule)

Drive Wheel organizes approximately 50 peer group meetings annually, connecting leaders within the Food and Consumer Packaged Goods industry to discuss new strategies, share best practices, and make informed business growth decisions. Our network includes over 300 members from more than 100 companies.
Position Overview:
We are seeking an experienced, organized, and personable Event Planner to manage event planning and logistics during a maternity leave. You will oversee the successful execution of in-person and hybrid workshops, ensuring events are well-attended, within budget, and highly organized. Exceptional member engagement and satisfaction will define success in this role.
Key Responsibilities:
-Communicate clearly and proactively with members regarding event logistics, timelines, and processes.
-Manage and track RSVPs, ensuring optimal attendance; address attendance conflicts proactively.
-Maintain and regularly update event attendance trackers and master scheduling documents.
-Coordinate hotel accommodations, regularly reviewing rooming lists and confirming reservations with members.
-Accurately maintain member attendance data within CRM (HubSpot).
-Prepare and finalize event documentation, including table tents, facilitator guides, and attendee lists.
-Manage budgets closely, controlling costs to stay within allocated limits.
-Coordinate member communication during events through email and phone.
-Finalize meal selections and guest counts, coordinating directly with restaurant partners.
-Distribute post-event surveys, schedule future event dates, and manage follow-up communications.
-Gather, edit, and distribute a weekly Industry News Update for members.
-Other tasks as assigned by management.
Qualifications:
-Minimum 5 years of professional event planning experience.
-Exceptional organizational and project management skills, capable of managing multiple priorities simultaneously.
-Excellent interpersonal and communication skills, comfortable engaging 1:1 via Zoom, email, and phone.
-Proven capability in high-pressure situations, with effective problem-solving and decision-making skills.
-Strong knowledge of hotel operations, including guest services, reservations, audio-visual, banquets, and catering.
-Understanding of various meeting setups and sleeping room configurations.
-Proficiency with Microsoft Office Suite; familiarity with HubSpot CRM is a plus.
-Must work during Central Time Zone business hours.
