Seed-funded AI music startup backed by well-known names in the industry is looking for an Executive Assistant to support their CEO. This is an exciting opportunity to be a part of an early-stage, 4 person team and be a pivotal partner in supporting daily operations! As the CEO's right hand, you will handle everything from managing communications and scheduling to anticipating needs and ensuring smooth operations across his personal and professional lives. Someone with a 24/7 mentality (some night & weekend work) and superb organizational skills to keep track of multiple tasks and switch between them seamlessly. This role is a remote role, with a preference for someone based on PST or EST timezone. 130-150K+ DOE + equity, benefits stipend, and flexible PTO.
Responsibilities:
- Manage the CEO's communication channels and inboxes, ensuring timely responses, priority communications flagged, and effective follow-ups.
- Schedule and coordinate meetings and logistics across various endeavors while optimizing the CEO's time, energy, and priorities.
- Plan and coordinate interviews, events, and other engagements, including speaking engagements and appearances.
- Prepare CEO for meetings, interviews, and events providing detailed research and advising when applicable.
- Draft updates and create presentation decks for meetings.
- Coordinate travel arrangements, including booking multiple flights and managing last-minute changes.
- Establish and manage processes, and delegate projects to relevant team members such as accountants and partners.
- Assist the CEO with finding office space and fostering a positive work culture.
- Provide personal support, including appointments, bill processing, and rent management.
Qualifications:
- 5+ years of relevant experience as an Executive Assistant; ideally in an early-stage, fast-paced environment. Tech, startup, or VC experience is desired.
- Excellent organizational skills and adept at managing multiple tasks and context-switching efficiently.
- Strong interpersonal and communication skills, both written and verbal.
- Proactive, confident, and capable of managing the executive’s activities and energy effectively.
- Highly responsive, with the ability to handle tasks that may arise during evenings and weekends; maintains clear communication regarding availability.
- Ability to maintain confidentiality and discretion at all times.
- Willingness to travel for business needs.
- Proven ability to execute tasks effectively and see projects through to completion.
- Tech-savvy. Familiarity with communication tools, such as WhatsApp, for internal coordination.
