POSITION OBJECTIVE
With a high degree of independence, this position ensures the seamless operation and maintenance of the Kelvin Smith Library (KSL) by effectively managing facility issues, coordinating supply and equipment procurement, and overseeing all mail, shipping, and receiving processes. The position facilitates OhioLINK consortium borrowing and lending, supervises student employees, and supports the Knowledge and Creativity Commons service areas. Through collaboration with campus departments, outside vendors, and delivery services, this role upholds the highest standards of maintenance, safety, and customer service in a dynamic 24/5 academic environment.
ESSENTIAL FUNCTIONS
Manage KSL Facility Issues: This includes but is not limited to generating work orders for general building repairs; coordinating special projects with outside contractors; and working with campus departments such as custodial services, recycling, etc. to uphold a high level of maintenance and safety for KSL, which is open 24/5 throughout the academic year. Coordinate workflow between departments as needed. (20%)
Mail, shipping and receiving: Responsible for all incoming and outgoing mail, packages, library materials, interlibrary loans, supplies and equipment for all departments within KSL. Includes establishing excellent collaborative relationships with delivery personnel, including campus mail, UPS, FedEx, Amazon, and other vendors. Sorts and distributes all incoming items. Maintains processes to track that all items were received in good condition and delivered accurately and on time. (20%)
Manage ordering and receiving supplies and equipment: Responsible for processing all supply and equipment requests for all library departments within KSL. Track receipt of items and distribute accordingly. Follow up on any damaged or incorrect orders with vendors. Responsible for maintaining excellent records and documentation for items purchased with the university credit card and reconciling this account monthly. (18%)
OhioLINK consortium borrowing and lending: Responsible for all incoming and outgoing faculty, staff, and student requests for library materials within OhioLINK, the State of Ohio consortium. Items need to be sorted, labeled, packaged and delivered through a contracted delivery service. For incoming items, this position is responsible for sorting KSL-owned materials from other library items borrowed by CWRU faculty, staff, and students. All items need to be checked-in and received within the library¿s online circulation system. (17%)
Student Employees: Oversee the daily work of student employees, including dedicated service area student assistant(s); provide training; assign work tasks; routinely monitor and deliver feedback about work performance. (6%)
Knowledge and Creativity Commons: Support the work of the Access & Resource Services team to provide first-contact customer service at all physical and online service points within the Commons to include training and maintenance of equipment, knowledge of collections and access within the physical stacks and the online catalog, general reference and digital services, oversight of spaces, referrals, and directional assistance. (6%)

Engages in professional development, including service on committees and working groups and attending learning sessions, maintaining awareness of current trends and developments in the field. (6%)
NONESSENTIAL FUNCTIONS

CONTACTS
Department: Continuous contact with library staff and non-library staff who work within KSL.
University: Continuous contact with campus mail delivery personnel. Frequent contact with the university¿s central shipping and receiving department; procurement; and UTech departments, for shipments pertaining to the central server area.
External: Continuous contact with delivery contractors ¿ UPS, FedEx, Amazon, Priority [OhioLINK]. Frequent contact with office supply vendors.
Students: Frequent contact with student assistant employees that support shipping and receiving responsibilities.
SUPERVISORY RESPONSIBILITIES
Direct supervisory responsibility for hiring, training, and overseeing student assistants that support the functions of the unit.
QUALIFICATIONS
Education/Experience: Associate¿s degree and 3 years of experience; or a Bachelor¿s degree in related area (academic library preferred).
REQUIRED SKILLS
Aptitude for detail is essential.
Strong interpersonal and communication skills. Ability to communicate effectively both orally and in writing is necessary.
Excellent organizational and time management skills.
Thorough interpersonal skills including good service orientation and effective problem solving.
Working knowledge of policies and procedures related to facilities management, equipment, customer services, dispatch, building maintenance, safety and emergency preparedness.
Ability to assume responsibility, prioritize and organize using own initiative.
Must be reliable, dependable, adaptable and able to work independently as well as a member of a team.
Ability to supervise students.

WORKING CONDITIONS
Regular duties require frequent bending and lifting of items that can be heavy at times. Office space is separate from mail processing space. Required coverage hours for this area are Monday ¿ Friday, 7:30 a.m.-4:00 p.m. This position is not eligible for the staff hybrid work program
