The Marketing Coordinator plays a critical role in general support of the offices in conjunction with the local Sales Manager and additional office staff (as applicable). Focus on execution of the offices’ print and digital marketing, the seamless coordination of marketing requests for our sales associates and local training efforts.
Job Responsibilities:
Schedule: This position is in-office, 40hrs per week, Monday through Friday.
The current support schedule is reflected here; it may fluctuate as directed by Management.
- Mystic, CT - main office, in-person Monday-Friday, both Administrative & Marketing support.
- Niantic, CT – onsite two Mondays per month providing Workshops and 1:1 Marketing assistance; with remote support of agents’ request the balance of time.
- Norwich, CT - remote Marketing support in coordination with Norwich staff, plus quarterly onsite visits to support a few larger teams.
Administrative support for the Mystic office including:
- SkySlope (SS) Transaction Management - Process / deposit checks for transactions as needed. Enter check copies into SS, copies of CD/HUD, and print co-broke checks. The Mystic office regularly processes for multiple area offices as needed.
- MLS assistance, roster maintenance and phone assistance.
- Rhode Island MLS - Assist with registering & disassociating agents affiliated under the Mystic office.
- Manage Office Logistics: Order supplies, communicate Facilities issues, maintain printed materials, signage, maintain general organization of office, troubleshoot computer/printer issues.
- Create monthly Agent Up-desk schedule. When no agent is on duty, answer phones & greet walk-ins.
- Invoice processing in Accounting/Concur system
- Quarterly Agent Marketing Reimbursement processing through the KACE ticketing.
- Log activities into Kace ticketing system.
- Communication with various departments in Headquarters via KACE ticketing platform
- Professional Office Communications: Email, Yammer, Company Contests, Local Events
- Onboarding new Sales Associates – serve as main point of contact & fulfill KACE ticketing checklist
Marketing – for Mystic, Niantic & Norwich offices:
- Compliance Officer for company branding, social media and marketing standards
- Provide a concierge level of support & training to our Sales Associates with a variety of Marketing tasks including but not limited to: CMA listing presentations, print/direct mail/social media/email marketing across all company Platforms: Maxa, MOXI, Raveis365, Raveis Complete: Mortgage & Insurance, RAMP-Raveis Automated Marketing Platform, Luxury Property program
- Plan and execute group workshops on company tools & initiatives, ie: social media, local marketing tactics, Common topics on 365 or Maxa, etc.
- General Marketing support and proactive planning directly with Sales Associates.
- Coordinate and execute all office print and digital marketing.
- Coordinate with Regional Marketing Design specialist on any custom or print ad requests.
- Manage Office’s Social Media account create & post to IG/FB per posting calendar, including branded reels to support offices’ culture (Sales mtgs, Mortgage Lunch & Learns, etc.)
- Social Media support for Sales Agents to effectively promote their brand across digital platforms.
- Weekly Office Recap email and Area Market Statistics creation
- Raveis.com and MOXI agent page support: profiles/bios, testimonials, adding videos.
- Assist Sales Manager with planning and executing office events: sales meetings, lunch & learns, awards luncheon, annual fundraiser, holiday parties, etc. Create corresponding marketing materials, such as: invitations, signage, QR code flyers.
Required Qualifications:
- Residential Real Estate experience is essential.
- Bachelor's degree or equivalent work experience.
- Microsoft Office: 365, Word, Excel, Power Point, advanced Publisher.
- Adobe InDesign: working knowledge of templated graphics is a plus, but not required.
- Customer service oriented, and strong team player
- Ability to multi-task, manage deadlines and prioritize multiple projects.
- Excellent written, editing and communication skills.
