Position Summary:
The Administrative Assistant will be responsible to make meeting arrangements, maintain schedules/calendars of multiple managers, prepare reports and maintain electronic retention systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and Outlook.
Ultimately, a successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of the department.
Essential Duties and Responsibilities include the following:
Under the supervision and direction of the Sr. VP the administrative assistant will perform all clerical and administrative services as assigned. The AA provides administrative support to the North Prior Authorization Department, the Sr. VP and both Senior Managers, completes assignments thoroughly and accurately within assigned timeframes. Answer and direct phone calls Manage calendars Organize and schedule appointments Coordinate meetings, prepare agendas and take detailed minutes Write and distribute email, correspondence memos, letters, faxes and forms Assist in the preparation of regularly scheduled reports Develop and maintain an electronic filing/retention system Update and maintain posting to Prior Authorization intranet site Update and maintain office policies and procedures Ensures that department printers and fax machines are checked periodically for paper and ink Order office supplies, submits facilities and equipment requests Maintain contact lists Coordinate travel arrangements for Senior VP and senior Managers Submit and reconcile expense reports Provide general support to visitors Act as the point of contact for internal and external clients Interacts with internal and external customers in a professional manner at all times Liaise with executive and senior administrative assistants to handle requests and queries from senior managers Resolves routine and complex inquiries Anticipate and notify Senior Manager timely of identified problems Exercises administrative judgment and assumes responsibility for decisions and consequences Consults with senior managers on conflicting work priorities so that the work is managed appropriately and timely Maintain confidentiality at all times and in accordance with HIPAA policies and assists with confidential projects Is a member of the department team and establishes good working relationships with peers Performs general office duties such as filing, faxing, collating, copying, mailing and purging files for storage on a regular basis so that files and materials are managed timely and appropriately Other duties as assigned Skills:
Ability to type at least 70 words per minute on computer. Working knowledge of Word, Excel. Access. Strong internet research skills. Knowledge and accurate usage of correct punctuation, grammar, and spelling. Strong verbal and written communication skills Strong organization skills and ability to multi task. Ability to be proactive and initiate processes with little or no supervision. Ability to deal responsibly with matters of a confidential nature Ability to prioritize work. Ability to meet deadlines. The pay range for this position at commencement of employment is expected to be between $21.00-$23.00 per hour; pending on multiple individualized factors, including market location, job-related knowledge, licensure, skills, and experience.
The total compensation package for this position may also include other elements, including a sign-on bonus and discretionary awards in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered.

Requirements
Education and / or Experience:
High school graduate required. Some college level course work, AA or BS degree preferred 5 or more years experience as an administrative assistant, or office admin assistant Experience in health care related field preferred.
