POSITION TITLE: Library Acquisitions Coordinator
REPORTS TO: Director of Johnnie Mae Berry Library
POSITIONS SUPERVISED: none
BROAD FUNCTION
Responsible for daily financial operations of the Johnnie Mae Berry Library, including purchasing management and acquisition of materials. Provide information services to students, faculty, and staff.
Responsibilities And Duties
- Manage the acquisition of library resources including the following responsibilities:
- Place orders on the internet and by phone and email.
- Maintain record of items on order to ensure receipt.
- Receive and process materials, including creating records in the Library's automated system and recording receipt.
- Physically prepare materials for cataloging.
- Prepare invoices for timely payment by Accounts Payable via eforms.
- Prepare payments for miscellaneous expenses including travel reimbursements via eforms.
- Coordinate problem-solving with Purchasing, Accounts Payable, Mailroom, and vendors. Problems can include errors in invoicing, incorrect shipments, delivery delays, and budget discrepancies.
- Provide general reference assistance during assigned hours. This includes helping and instructing patrons in the use of the online Library catalog (BLINK), OhioLINK databases and information services, and in locating and using Library materials.
- Maintain database of financial acquisitions and purchasing records for the purpose of tracking budget expenditures.
- Maintain files of paper and digital documentation for all transactions and related vendor information.
- Maintain order records in the Library's automated system to ensure accuracy and timely handling.
- Approve transactions in the online banking system for procurement card, upload supporting documentation, and reconcile online transactions with receipt records.
- Deposit checks from used book sales and ILL fines and cash from photocopiers with the Cashier.
- Maintain inventory of library supplies.
Internal
Daily contact with faculty, staff, and students. Work closely with the Coordinator of Information Services, Coordinator of Technical Services, Purchasing Department, Accounts Payable Department, and Mailroom.
External
Daily contact with vendor and supplier representatives in sales, customer service, and accounts receivable departments.
SPECIFICATIONS
Education
BS or BA degree required.
Experience
Two years of library experience required. Experience working with OhioLINK, Innovative Sierra, or other automated library system preferred.
Special Skills Or Conditions
Demonstrable computer skills with word processing, spreadsheets, website navigation, and e-mail software essential. Knowledge of library science, acquisitions procedures, and research tools desirable.
Physical Requirements
Ability to access items on all levels of shelves in Library stacks. Ability to lift and move boxes up to 40 lbs. Ability to load and maneuver book carts.
Personal Characteristics
Ability to deal with the College community in a friendly, helpful, and tactful manner. Ability to communicate effectively both orally and in writing with attention to detail and accuracy with financial data. Ability to work within a team for the delivery of services.
Ability and confidence to exercise good judgement in all decision-making situations.
