Job Summary:
We are looking for an experienced Executive Assistant to join the most dynamic studio in the world, The Walt Disney Studios. The Studios encompass Disney, Walt Disney Animation Studios, Pixar, Lucasfilm, Marvel Studios, Searchlight Pictures, and 20th Century Studios. It is also home to Disney Theatrical Group, producer of world-class stage shows, as well as Disney Music Group and numerous other exciting and innovative creative businesses.
This EA will be part of a highly visible department supporting the VP, Talent Acquisition; Director, Talent Acquisition; and a Director, Human Resources. This person will play a central role for the entire Studio Talent Acquisition team to help support culture and team engagement.
Role Responsibilities:
- Act as the primary point of contact for proactively managing the Executives’ calendars, including meetings, recurring check-ins, general scheduling requests, and daily time management.
- Partner closely with other EAs to ensure alignment of Executives’ schedules with overall priorities.
- Manage communications via phone, email, and messaging platforms.
- Coordinate all travel arrangements, including complex itineraries for both business and personal travel, with domestic and international travel as needed.
- Take notes, track, and prioritize actionable items from meetings and follow up when needed to ensure completion.
- Assist with event planning, logistics, and provide coverage for other EAs as needed.
- Prepare presentation decks and other communications and provide IT setup for meetings.
- Ensure the Executive has access to logistics and necessary materials for all events and travel.
- General office management for the TA team as well as organizing team events and celebrations.
Basic Qualifications:
- 2+ years of administrative experience in a corporate or entertainment setting supporting multiple executives.
- Ability to navigate sensitive and high-pressure situations with discretion and professionalism.
- Exceptional organizational skills with the ability to prioritize effectively and manage multiple tasks simultaneously.
- Detail-oriented, with the ability to manage high-volume calendars and coordinate complex travel logistics.
- Deadline-oriented, with the ability to problem-solve and make decisions with sound judgment.
- Demonstrate resourcefulness and adaptability to an evolving, high-demand environment.
- Ability to manage individual tasks while maintaining focus on larger strategic objectives.
- Strong team player who collaborates easily with teammates and executives at all levels.
- Excellent written and verbal communication skills with demonstrated experience writing and creating presentations for internal audiences.
- Proficient with Apple and Microsoft Office software (i.e., Keynote and Excel) and strong aptitude to learn new technologies and tools.
- This position is onsite in Burbank and the best person for the job will need to be able to work onsite at least 4 days a week with regular overtime, and accessible 24/7 via telephone and email to handle urgent requests.
The hiring range for this position in Burbank, CA is $53,300 to $71,300 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
