JOB TITLE:
Office Associate, Sr. - UW Libraries Dean's Office
JOB PURPOSE:
This position provides vital support in the day-to-day operations of the Libraries Dean's Office including reception and customer service at the front desk, administrative support for the Dean of Libraries and UW Libraries development efforts, support for Libraries meetings and events, and serves as the primary contact for Libraries conference room requests.
ESSENTIAL DUTIES AND RESPONSIBILITIES:Open the Libraries Dean's Office Monday - Friday (7:30 am). Perform reception duties at the front desk including: customer service in person, through email, and by phone; hospitality for guests and candidates for library positions; assisting employees with office equipment; monitoring and organizing supplies, files, and data. Coordinate information between individuals, departments and/or outside agencies as directed; assist with problem resolution as required. Maintain the Libraries key database.Perform administrative support tasks for the Dean of Libraries. Assist Dean with calendar management; advise on upcoming meetings and events and Dean's role/involvement; schedule time appropriately. Serve as point of contact for the Libraries Advisory Board and assist with Board development opportunities. Prepare related reports and correspondence. Perform difficult research for special projects.In conjunction with supervisor and the Associate Dean of Libraries, reserve and schedule meetings and events in Libraries conference room spaces. Serve as primary point of contact for users; provide general oversight of appearance and upkeep of spaces, assist with and troubleshoot conference room technology, report technology and maintenance issues.Serve as Dean's Office Liaison for event coordination. Assist Dean and Associate Dean with planning and staging events such as UW Giving Day and the Libraries' award ceremony, and with meetings for campus partners and committees, UW Student organizations, UW Libraries partners throughout the state, and donors.Participate in fiscal planning activities working with the Libraries leadership team including financial planning for and management of the Foundation accounts.Serve as the Libraries Dean's Office liaison on Libraries standing committees, teams implementing initiatives related to the strategic plan, and other working groups as assigned.
SUPPLEMENTAL FUNCTIONS:Make recommendations on existing office policies, systems, methods, and procedures; create/revise related documentation. Ensure compliance with policies and procedures.

MINIMUM QUALIFICATIONS:

Associate's degree
Experience:
1 year progressively responsible experience in an office setting
