Job Summary
The Concours Club Service Writer is responsible for managing the ordering and tracking of parts, supplies, and materials for the Service Center under the supervision of the Manager. This role ensures timely delivery of parts to support vehicle repairs and Service Center operations. The Service Writer maintains accurate inventory records, communicates with vendors, and supports the shop team by ensuring necessary supplies are available to minimize downtime and optimize workflow.
- Place orders for parts, tools, and shop supplies as requested by technicians and management.
- Track and monitor order statuses to ensure on-time delivery and resolve any delays with vendors.
- Maintain accurate inventory records and update stock levels to prevent shortages.
- Receive, inspect, and document incoming parts and supplies; ensure items match orders.
- Organize and label parts for quick identification and access.
- Work closely with mechanics to prioritize parts orders based on job schedules and urgency.
- Reconcile invoices and purchase orders, ensuring accuracy for billing and payments.
- Assist in managing returns or exchanges of defective or incorrect parts.
- Maintain organized records for all orders, receipts, and related paperwork.
- Communicate effectively with vendors, technicians, and shop management to provide updates on part availability and delivery schedules.
- Perform other administrative tasks to support the shop's daily operations as needed.
Skills & Qualification Requirements
- High school Diploma required.
- Previous automotive dealership, race team, or tuning shop experience preferred.
- 1-2 years of experience in parts ordering, inventory management, or administrative support in a mechanic shop or automotive environment preferred.
- Detail-oriented, excellent communication and organization skills.
- Proficiency with Microsoft Office applications, or the equivalent is expected, and familiarity with additional software programs is valued.
- Experience with parts management software or inventory systems is a plus.
- Excellent communication and problem-solving skills.
- Ability to work independently in a fast-paced environment.
- Ability to verbally communicate professionally and effectively.
- Must be 18 years of age or older.
- Attention to detail and ability to maintain accurate records.
- Bilingual is a plus.
Work Environment
This job is primarily performed outdoors and experiences elevated levels of noise. This job has intermittent levels of high stress.
Physical Demands
The candidate must have the ability to stand for long periods of time, lift, stoop, bend, reach, and carry 25+ pounds.
Position Type/Expected Hours of Work
The employee is expected to work an alternating schedule.
