Philly Temps & Perm is seeking an experienced Event Planner to support their client on a full-time basis. This is an on-site, temp to perm role located in Philadelphia, PA supporting our client. Our client is a a leading provider of special events, meeting management, destination management, and event entertainment services in Pennsylvania, New Jersey, and Delaware.
Position Overview
The Event Planner serves as the primary contact for accounts and leads the event planning process from inception to completion. This role involves overseeing special events and destination management programs, identifying new sales opportunities, creating professional proposals and budgets, managing customer portfolios, mentoring event coordinators, and representing the company at industry events.
Key Responsibilities
- Lead the event planning process and serve as the primary contact for accounts.
- Oversee and participate in the planning and execution of events and programs, including on-site coordination.
- Manage multiple clients and projects simultaneously.
- Promote the company positively, address client questions and concerns, and attract new clients.
- Organize and produce detailed responses to Requests for Proposals (RFPs).
- Review and oversee the proposal process with event coordinators.
- Mentor and work closely with event coordinators.
- Manage incoming sales inquiries from qualification through contract.
- Consult, strategize, and manage sales efforts for the company.
- Seek new client business relationships to secure growing sales and conduct sales presentations.
- Identify and develop additional sales opportunities within existing relationships.
- Reinforce relationships with third parties, incentive management companies, and hotels.
- Participate in weekly office meetings.
- Actively participate in industry organizations and networking events to promote brand awareness and build new business relationships.
- Maintain knowledge of the PA/NJ/DE region, with a strong emphasis on Philadelphia as a destination.
- Contribute photos for the company's social media needs.
- Perform other projects, responsibilities, and tasks as assigned.
Requirements & Qualifications
- Minimum of 3 years of direct experience in the destination management and special events industry, with 3-5 years of proven successful sales preferred.
- Familiarity with the PA/NJ/DE region, with an emphasis on Philadelphia, preferred.
- Bachelor’s Degree in Event, Hospitality and Tourism Management, Marketing, or a related discipline preferred.
- Advanced-level skills in destination management services and best practices are a plus.
- Experience in generating and growing corporate event business.
- Ability to work both independently and as part of a team.
- Outstanding organizational and project management skills, with the ability to handle multiple projects simultaneously while adhering to timelines and budgets.
- Excellent verbal and written communication skills, with the ability to write creative, detailed, and well-rounded proposals.
- Strong interpersonal skills, including the ability to develop and manage productive relationships with colleagues, clients, and vendors; excellent listening skills; tactful negotiation and diplomacy skills; and a positive and professional client and guest services demeanor.
- Ability to work well under pressure and tight timeframes, exercising good judgment and excellent interpersonal skills.
- Proficiency in Microsoft Office suite, including PowerPoint and Excel; capability to quickly learn new software.
- Flexibility to work at events outside of regular working hours, including evenings and weekends, and/or over multiple days.
- Travel and own transportation/vehicle to office and event locations are expected.
