The Outlook at Windhaven is currently hiring a

Boone Pickens Hospice and Palliative Care Center.Responsibilities:The following duties are normal for this position. This list is not to be construed as exclusive or all inclusive. Other duties may be required and assigned.Administrative duties to include the following: prepare and distribute reports and mailings; maintain files; and keep time, expenses and commission sheets for all sales staff and personnelOperate and administer CRM databasePlan and manage social media platformsDistribute mailings to individuals on the mailing listsAssist in providing tours of the community to prospective residents and applicants as needed, including any open houses or special functions related to sales and/or marketingOrder office supplies, postage, petty cash and other supply inventoryCoordinate and complete special project assignmentsEnsure accurate documentation and administration of expenditures including reconciliation of financial accounts (petty cash)Organize and prioritize office duties with ability to be flexible with assignments and to assist other team membersType, collate and distribute all correspondence and other materials deemed appropriate by sales staff in a timely mannerOrganize, coordinate and assist in planning of special events, including weekend eventsMaintain accurate and timely data-based recordsPrepare accurate reports produced by the CRMProvide support for Health Services sales department, once operational
Prospecting / Customer Focus / Service Oriented Skills
Greet visitors / answer and direct telephone calls in a pleasant and professional mannerUtilize interpersonal and relationship building skills including the ability to interact with prospects, office personnel and managementProvide telephone support to support the sales effort when neededMaintain CRM database effectively and in a timely manner with all inquiriesCreate email blasts, mass mail outs, and general marketing automationAct professionally and honestly at all times in the representation of the Community concept of senior livingOther duties as assigned by Supervisor
Qualifications:Education and Experience RequiredHigh school diploma or equivalentTwo to three years experience as Administrative Assistant involving customer serviceKnowledge of social media campaigns and CRM databases
