Job Summary:The Marketing Communications Specialist will provide support in the execution of communications strategies and marketing initiatives. This role will play a pivotal role in the planning, organizing, and executing trade show events. The ideal candidate will have strong organizational skills and attention to detail as you will work closely with various stakeholders to ensure seamless coordination, promotion, and success of these events. You will also collaborate with the Marketing team to ensure our brand and company message is consistently carried over through our various marketing channels.

Essential Responsibilities:

Manage logistics (venue selection, catering, and AV equipment), coordinating schedules for participants and staff, overseeing the invitation management process, including guest lists, RSVPs, and communication with attendees.Internally coordinate event and conference participation, including scheduling, logistics, and communication with team members.Strong project management skills with the ability to multitask and prioritize effectively.Create post-event evaluation and analysis to measure success and identify opportunities for improvement.Organize and prepare marketing materials and displays for conferences and events, ensuring all materials are present and appropriately branded.Assist in event promotion through various channels.Create and disseminate conference-related internal & external newsletters – including drafting content and collaborating with internal departments.Assist in developing strategies to help meet communication goals and develop communications materials.Recommend procedure changes, which would improve the company’s internal and external communication system.Participate in the selection of promotional items and materials to support promotional events.Responsible for collecting, consolidating, and managing inventory of marketing materials, promotional items, and event supplies.Collaborate on the production of events video content for social platforms and work with social media specialists to report on content.Assists with a variety of pre-launch tasks (e.g., compiling cut and pastes, distributing launch packets, and maintaining launch boards).Assists with the company’s documentation organization and re-design.Participate in the redesign of applicable websites as well as the development and implementation of online product demos and videos, billboards, microsites, advertising campaigns, rich content for customer websites, etc.Perform additional duties as assigned

Minimum Qualifications:

Bachelor's degree in marketing, communications, or a related field.2+ years’ experience in marketing or communications.Flexibility to work irregular hours and travel as needed to attend events.Proven experience in event planning and coordination, particularly in the trade show or exhibition industry.Working knowledge of Adobe Creative Suite is required (InDesign, Photoshop, Illustrator)Proficiency in event management software, Microsoft Office Suite, and other relevant tools.Proficiency with Advanced knowledge in Microsoft Office programs and experience in WordPress.Strong verbal and written communication skillsKnowledge of industry trends and best practices in event marketing and promotion.Familiarity with CRM systems and marketing automation platforms.Ability to adapt to last-minute changes, coordinate multiple projects at the same time and manage short deadlines
