We're looking for an enthusiastic Project Manager to support our marketing team in coordinating and overseeing projects from inception to completion. You will work closely with cross-functional teams responsible for marketing and creative design, assisting in project planning, resource allocation, scheduling and ensuring project objectives are met within set timelines and budgets.

We're at a stage in our growth where more formal Project Management methodologies are needed. Your experience and leadership in marketing (experience in other fields won't do the trick!) Project Management are vital to this role. You'll be expected to look at our current practices and advise Apex on how to best implement and standardize Project Management within the marketing department. We're looking for someone to show us how it's done - a true PM pro, who specializes in managing marketing and creative projects.

Your first big task will be to consolidate the various existing ad-hoc project management spreadsheets into our new tool, ClickUp. Then, you'll establish best practices that support effective project management. You'll evangelize usage of our project management tool throughout the marketing team and support existing staff on the effective use of the tool.

While we welcome motorsport enthusiasts to apply, a keen eye for organization, project management, and keeping things on track will go much further than expertise in wheel fitments or experience at the race track. Pro level experience managing marketing and creative projects is a must, and project management in a marketing agency environment is preferred. This position will require you to lead and/or participate in meetings with our team members and vendors in different timezones, so scheduling flexibility is important. This is a remote position that can work from anywhere in the contiguous USA and may include occasional domestic and international travel.

Responsibilities:

Lead collaboration with stakeholders to define project goals, deliverables and success criteria. Lead meetings and keep them on track and on time.Develop comprehensive project briefs for agencies and internal teams, outlining project scope, objectives and key deliverablesLiaise with internal team members, freelancers and vendors to produce project deliverables and shepherd projects from cradle to graveWork closely with cross-functional teams to coordinate project activities, assign tasks and ensure seamless project executionEffectively organize marketing and creative projects from conception to completion, ensuring all team members and agencies are aware of deliverables, deadlines and activities so they are delivered on time, within scope and on budgetDevelop and maintain project timelines, identify critical milestones and dependencies and allocate resources effectively to meet project objectivesIdentify potential risks and issues that may negatively impact project timelines or outcomes. Develop contingency plans and implement proactive measures to mitigate risks.Communicate project status updates, risks, and issues to stakeholders, providing regular progress reports and facilitating effective communication channelsMonitor project budgets, track expenses and provide regular reports to ensure projects are executed within allocated budgetsEnsure that team project members are accurately tracking their hours spent on projects so that ROI can be appropriately assessed. Take team's project time tracking to calculate efficiencies and project ROI after comparing to campaign performance.Conduct project retrospectives for each project, gather lessons learned and assist the team in implementing best practices that support timely, on-budget and high-quality execution of projectsMaintain comprehensive project documentation, including project briefs, status reports, meeting minutes and change requestWork with other Project Managers throughout Apex to continuously evaluate and improve project management processes, tools, and methodologies to optimize project efficiency and productivity and to promote continuity and standardization of best practicesOwn project reporting, providing leadership with insights into team productivity, adherence to project timelines and workforce planningHold team members accountable for adhering to project timelines through effective communication, expectation setting and providing clarity of consequences. When necessary, raise deficiencies to the direct managerInfrequent travel to Apex headquarters in Pleasanton, CA (typically no more than once a quarter)Other duties as assignedRequirements

Bachelor's degree in business, project management, or other related fieldWe'll give preference to PMP Certified candidates5+ years of experience in a marketing or creative Project Management positionExperience in project management at a marketing agency is preferredStrong organizational and project management skills, with the ability to prioritize tasks and meet deadlinesExcellent written and verbal communication skillsSelf-motivated and able to work effectively both independently and as part of a teamStrong preference will be given to candidates with a passion for the motorsports industry and/or familiarity with motorsports or performance car cultur.Demonstrable experience with Project Management best practices, organizational skills and the ability to prioritize tasks and meet deadlinesDemonstrable experience with Project Management tools such as ClickUp MS Project, Asana, Notion, Smartsheets, etc. and the ability to quickly learn and implement new software solutionsExcellent written and verbal communication skillsSelf-motivated and able to effectively drive change and fully-own the functions of the position while working collaboratively as part of a teamAbility to travel domestically to California and able to obtain a valid passport to travel internationallyBenefits
