Description:

Holland & Knight's Marketing Department seeks a Senior Marketing Events and Meetings Coordinator to serve as part of the Marketing Events Team, assisting in the planning, coordination, and implementation of the firm's internal and external meetings and events.

Key Responsibilities Include:

Strategically collaborate with internal stakeholders and outside vendors to plan, implement, and execute all aspects of on- and off-site events, meetings, receptions, and seminars.Proactively and independently manage all details and logistics associated with events and meetings including: offering strategic input to lawyers and marketing personnel regarding event goals and objectives; researching and locating venues to further event goals; reviewing RFPs and site recommendations; negotiating contracts, food and beverage, audio visual;; securing on-site room holds; developing invite; reviewing RSVP lists; coordinating speaker, guest, and VIP needs; etc.Assist with the full-scale development and production of the firm's annual meetingIdentify and develop relationships with hotels, off-site venues, vendors, suppliers, and caterersManage production and compilation of event materials and handouts such as invitations, presentation packets, evaluation forms, name tags, signage, follow up mailings, and any last minute requestsHandle on-site event management; coordinate and supervise support staff required for eventsPost and update internal and external event web pagesProvide strategic and creative input, with an eye toward business and client development goals, when planning events with practice and area marketers and lawyersProvide strategic follow up and debriefing, including analyzing data from internal reports (attendance, click through rates, etc.) to offer suggestions on how lawyers can follow up best with event attendeesReview and approve expense vouchers from meetings and events; ensure adherence to event and meeting budgets; confirm/secure budgetary approvals for all aspects of event expenditures; determine ROI and provide feedback on return based on final expendituresModerate to heavy travel required (up to 50%)Other projects as assignedQualifications:

Strong communication, organizational, and problem solving skillsExceptional attention to detail with ability to prioritize many projectsAble to work independently and as part of a team; strong sense of ownership and accountabilityExcellent project management skills and capable of working well under pressure in a fast-paced, deadline-driven environmentProficiency in Microsoft Office (Word, Excel, PowerPoint) required; experience with InterAction, Cvent, and Crowd Compass preferredFlexibility to work early mornings, late evenings, and weekends when necessaryAbility to work both autonomously when executing local events and as part of a team on general strategyMinimum of 4-6 years events and meeting experience; law firm or other professional services experience preferred.Minimum Education:

Bachelor's degree required. Advanced degree is a plus.
