Overview:

Our client, a leader in the tech industry, is seeking a dedicated Design System Production Specialist/Manager to join their design studio. In this role, you will develop, define, organize, and maintain their design system (Figma) and guidelines to help streamline and manage their design process. You will help get their design files organized into a new clean system and help to maintain that system across their various engagements. This will require strong knowledge of Figma and a love for developing systems, communicating with multiple busy stakeholders, working through lack of clarity, helping to create clarity within the files and get to a place of maintaining their system and processes.

This team uses Figma, SharePoint, Loop, and Teams, and there has been an increasing need for a more consistent, reliable way to document their work. Not all their information can live in the same channels, but a designer or someone supporting them needs to be able to get what they need. The overall goal is to ensure that information flows seamlessly into and out of central locations, providing reliable and up-to-date documentation to support the design team.

Goals:

  • Establish central locations where information lives and flows which can be shared with all appropriate audiences.
  • Prioritize documentation of the latest design PORs (plan of records), who is on ping for design PORs, and who to contact otherwise (i.e. designated producer contacts or general design managers).
  • Keep all documented information current and accurate.

Key Responsibilities:

  • Design System Definition and System Guidelines Documentation Management:
    • Learn about the org and product structure, review current systems and documentation, spend time with stakeholders to understand how assets move through their pipeline, etc. Work with the appropriate stakeholders to define, develop, organize, and implement system guidelines.
    • Create and maintain central locations for documentation that can be easily shared with all relevant stakeholders, including Program Managers, partners, and within the design studio.
    • Ensure documentation includes the latest design Plan of Record (PORs), responsible designers, and contact information for additional queries.
  • Information Flow and Accessibility:
    • Guarantee that all documentation is access-controlled for data security but remains as widely accessible as necessary.
    • Regularly update and refresh documented information to keep it current and accurate.
  • Ongoing Process and Vision:
    • Work with the producers and general design managers to receive an up-to-date contact list who will know which designers are working on which features
    • Offer clear guidelines and examples for the documentation process.
    • Follow up with designers on a regular basis for requests for information and updates (you will be supported and empowered by directors with this process)
    • Access and review team share outs and follow up on getting documentation for anything new.
    • Encourage team members to respond promptly to documentation requests and provide the latest files to you.
    • Maintain a master list of the latest files, including an “aka” list for feature name variations.
    • Reach out to a producer or general design manager when clarity or additional information is needed.
  • Production Support:
    • Once the design system is in sustain mode, you will help with various production tasks including assistance with presentations and extending existing designs in Figma.

Qualifications:

  • Strong proficiency in using Figma
  • Experience and a passion for developing and organizing design systems
  • Strong organizational skills and attention to detail.
  • Comfortable with ambiguity
  • Ability to work through lack of clarity and help create clarity within the design system files
  • Excellent communication and collaboration abilities.
  • Ability to maintain data security while ensuring appropriate accessibility.
  • Experience in a similar role supporting design or technical teams is preferred.
