Position Overview:

The Marketing Project Coordinator will oversee and support various projects from start to finish. They will work closely with project managers, team members, and stakeholders to ensure all projects are completed on time, within budget, and to the satisfaction of all parties involved. They will serve as the point of contact for the project team, providing updates, addressing concerns, and facilitating communication.

The role includes managing the organization of marketing projects and ensuring all projects stay on track and meet deadlines.

This is a full-time, project-based short-term role requiring the candidate to work 40 hours per week. While the position is initially set for a limited duration, there is a possibility of extending it based on project needs and performance. This role offers an excellent opportunity for professionals looking to make a significant impact within a defined timeframe. We prefer candidates located in the Eastern Time Zone to align with our team's working hours.

Ideal Candidate:

The ideal candidate is comfortable multitasking and prioritizing with minimal supervision. We are seeking a highly qualified marketing coordinator, who can contribute to existing programs while assisting with development of new initiatives aligned with company and client goals. The ideal candidate will have experience in a wide range of marketing functions, including communications, advertising, branding, digital, and social media. The marketing coordinator must be an organized multitasker, able to handle many diverse projects simultaneously and meet tight deadlines.To succeed in the role, you must be tech-savvy, detail-oriented, and an effective communicator. We're looking for someone who is creative, willing to learn new things, has excellent organizational and communication skills, and is passionate about software development.

Key Responsibilities:

Project Management:

Project Planning & Organization: Define project scope, timelines, budgets, resources, and communication plans.Task Management: Break down projects into actionable tasks, assign tasks to team members, track progress, and manage deadlines.Risk Management: Identify potential risks, develop mitigation strategies, and monitor project progress for potential issues.Reporting & Communication: Prepare regular project status reports, communicate updates to stakeholders, and ensure team alignment.Tools: Utilize project management platforms to plan, track, manage marketing projects, and keep teams informed.

Strategy Support:

Marketing goals: Ensure that all marketing efforts serve immediate and long-term business goals by identifying and executing improvements for processesResearch: Compile market research, forecasts, competitor analysis, campaign results, and consumer trends.Organizational support: Support the Marketing Team in organizing promotional presentations, and updating calendars.

Content Creation & Execution:

Campaign Support: Assist with the development and execution of marketing campaigns across various channels (e.g., digital, social media, email marketing).Content Management: Manage the creation, editing, and scheduling of marketing content (e.g., blog posts, social media content, email copy).Vendor & Partner Management: Coordinate with vendors, freelancers, and external partners involved in marketing projects.Content Management Systems (CMS) tools: Manage content creation, scheduling, and brand compliance within the CMS.Marketing Automation Platforms/tools: Leverage marketing automation tools for email campaigns, list management, workflows, and performance analysis.Social Media Management Tools: Utilize social media management tools for scheduling, engagement, and performance analysis across platforms.

Data & Analytics:

Data Analysis: Assist with collecting and analyzing marketing campaign data to measure performance and identify areas for improvement.Reporting & Insights: Generate reports and present data-driven insights to inform marketing strategies.Data Analytics Tools: Employ data analytics tools to collect, analyze marketing campaign data, and generate reports for informed decision-making.

Branding:Ensure marketing materials (e.g., social media posts, email campaigns, presentations) adhere to brand guidelines for colors, fonts, logos, and messaging.

Work with designers and content creators to maintain brand voice and visual identity across all marketing touchpoints.Maintain a library of approved brand assets (logos, color palettes, fonts) and ensure they're readily accessible to the marketing team.Assist with managing brand asset usage across various marketing materials and channels.

Communication and Coordination

Communicate campaign objectives, timelines, and deliverables to the sales team, and provide instructions for usage and promotion.Direct project correspondences by preparing and reviewing project proposals, memos, meeting minutes, and emails.Participate in project design meetings and propose improvements if necessary.

Knowledge SharingSupport the development and maintenance of internal tools, including credentials database, documenting marketing process and proceduresBuild knowledge and education regularly through workshops, research, and seminars, and share best practices and local marketing tactics with team members.Collaboration Tools: Utilize collaboration tools for communication, task management, and real-time project execution with internal and external partners.

Administrative & Operational Support:Schedule Management: Manage the marketing team's calendar, schedule meetings, and handle travel logistics.Budget Management: Track marketing project budgets, manage expenses, and monitor resource allocation.Administrative Tasks: Perform administrative tasks like filing, creating presentations, and managing databases.Maintain inventory of sales support materials, ensuring all are current and accurate, and coordinate the creation of new materials when necessary.

Event and Meeting PlanningPlan meetings, events, conferences, and trade shows by identifying requirements, establishing contacts, developing schedules and assignments, and coordinating emailing lists.Organize projects, meetings, and deliverables.

Soft Skills & Other Responsibilities:Communication & Collaboration: Effectively communicate with team members, stakeholders, and external partners.Problem-solving & Adaptability: Identify and address challenges during project execution, adapting to changing priorities.Organization & Time Management: Prioritize tasks, manage workload effectively, and meet deadlines consistently.Attention to Detail: Maintain accuracy and ensure high-quality deliverables for all marketing projects.Staying Current: Actively learn about new marketing trends and technologies to stay relevant within the field.

Required Qualifications

Associate's or Bachelor's degree in Marketing, Business Administration, Project Management, or a related field.Minimum of 2 years of experience in marketing project coordination, management, or a similar role required.Ability to manage multiple projects simultaneously and prioritize tasks effectively.Strong organizational, time management, and project management skills to meet deadlines and adapt to a fast-paced environment.Strong data-driven analytical, problem-solving, and decision-making abilities, with a keen attention to detail and initiative to provide actionable insights.Proficient in project management software (e.g., Jira).Knowledge of project management methodologies (e.g., Agile).Proficient in marketing tools and platforms like HubSpot, Google Analytics, Hotjar, social media management tools, and email marketing platforms.Familiarity with content management systems (CMS) and customer relationship management (CRM) tools.Working knowledge of HTML and design/email software.Good understanding of traditional and digital marketing, content marketing, and social media marketing.Excellent written and verbal communication skills, with the ability to create compelling content and collaborate effectively with cross-functional teams.Ability to work independently and collaboratively within a team.
