Position Summary

The Sales & Marketing Assistant provides support to the ongoing functions of the Sales and Marketing departments, including support to the marketing and sales team management team with administrative tasks. This position will utilize knowledge and experience of basic business functions, including organization, tracking, meeting planning, and reporting as well as a basic understanding of sales and marketing functions.

Essential Position Functions

Assist with client material request fulfillment for insurance sales team including printing, collating and shipping of materials

Manage supply and collateral inventory for insurance sales team including ordering, tracking and organization of products

Source promotional products and coordinate gifting campaigns for insurance sales team

Maintain client open enrollment and benefit fair calendar for insurance sales team

Attend client benefit and wellness fairs to represent Willamette Dental as needed; involves travel within Oregon, Washington and/or Idaho

Track courses, submit rosters, and process renewals for company-provided continuing education courses for insurance brokers

Process new broker appointments for insurance companies

Update monthly reporting for insurance sales team, including membership, group enrollment portal usage reports

Assist with updates and process support and documentation for Microsoft Dynamics sales software

Schedule and support meeting coordination for sales and marketing departments

Process check requests and track department expenses for sales and marketing departments

Coordinate printing and distribution of marketing and internal communications campaign materials for marketing team

Assist with Willamette Dental events by supporting event planning, tracking, and setup

Assist with marketing, website, and online branding audits to ensure accuracy of branding and information

Update and maintain sales and marketing department Microsoft SharePoint intranet sites

Non Essential Position Functions

Additional duties as assigned.

Job Qualifications

Education and Experience

Bachelor’s degree preferred and two years’ combined work experience in administrative support, marketing, information coordination and/or communication OR equivalent combination of education and experience which will provide the ability to perform the essential functions of the position. Minimum of one year of experience assisting on projects involving internal and external partners, working from a project plan, and assisting with day-to-day operational aspects of event, meeting, and projects (large and small

scope).

Knowledge of:

Microsoft Office (Word, PowerPoint, Excel, etc.).

Microsoft SharePoint.

Common Project Management Tools (Wrike, Basecamp, etc.) (not required but preferred)

Adobe Creative Suite (not required but preferred)

Skill In:

Critical thinking and the ability to support a fast-paced team culture.

Interpersonal, written, and verbal communication methods.

Organization and multitasking.

Ability to:

Appropriately direct internal and external inquiries.

Maintain a high attention to detail across several simultaneous projects and timelines.

Understand how business needs and sales and marketing needs align.

Work harmoniously and independently with a diverse, multidisciplinary team environment.

Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.

Quickly adjust priorities when required.

Handle many diverse projects at once and meet tight deadlines.

Company Overview

Physical Requirements:

The work is primarily performed while sitting and/or standing, but will require occasional walking, bending, stooping, and carrying light items such as papers, books, or other supplies. The incumbent uses a computer and other standard office equipment to complete tasks. This position may be eligible for a Hybrid work schedule.
