Job Title:OCVIBE Marketing Project Coordinator

Pay Details:The starting hourly rate range for this position is $26.50 to $33.65 per hour. The actual hourly rate offered will take internal value, peer equity, job-related factors, and other organizational considerations into account.

The OCVIBE Marketing Project Coordinator oversees the execution of various projects, ensuring they align with organizational objectives and are completed successfully. This role is vital in coordinating resources, managing timelines, and fostering collaboration among cross-functional teams.

ResponsibilitiesOversee pre-meeting coordination efforts (scheduling, directions, custom décor, gifts, meals, beverages)As needed, greet and guide meeting attendees and guests on-siteAs needed, respond to Preview Center administrative inquiries and questionsManage the day-to-day execution of projects, from initiation to completionEnsure projects are delivered on time and within scopeCoordinate with stakeholders to gather requirements and define project objectives in a project brief that is used to review all new requestsProjectize and document all project steps to maintain project timelines, identifying critical milestones and dependenciesProactively identify and address any potential delays or issues affecting project progressCollaborate with various teams, including legal, creative, and marketing, to align project strategies with organizational goalsFacilitate communication and foster collaboration among team members throughout the project lifecycleProvide regular project status updates to the Director of Strategic Planning and other stakeholdersCommunicate project milestones, risks, and issues in a timely and transparent mannerIdentify opportunities to streamline processes and improve project efficiencyImplement best practices and lessons learned to enhance future project deliverySpecial projects as assigned (i.e., prepping digital Evite system for department-hosted events)Assist with overall department database maintenance and file managementSkills

Proven experience in project management, with a focus on delivering successful outcomes through written project briefs and the use of project management toolsStrong organizational and time management skills and able to prioritize tasks effectivelyExcellent communication and interpersonal skills and able to work collaboratively across teamsProficiency in project management tools and softwareAble to thrive in a fast-paced environment and adapt to changing prioritiesStrong problem-solving skills and ability to navigate complex challengesPrevious experience in the entertainment or sports industry is a plus
