Summary

The Service Writer assists the Service Manager in maintaining accurate and on-time reports and records relative to the service department's operation within the dealership. Answers customer Inquiries about service work and distributes customer inquiries accordingly. Prepares work orders to ensure technicians have work in front of them and coordinates Parts orders for the service department.

Essential Duties and Responsibilities (not in the order of priority)

Fields internal and external customer inquiries to the Service DepartmentOpens and closes work orders as directed by the Service ManagerMaintains service department filings and records and service library with current information (for example, files, bulletins, manuals, multi-media, ect.) under the direct supervision of the Service ManagerUpdates customer profiles using equipment. Hours or other information from the customer work orderMaintains service accessories and supplies and prepares replacement ordersMay prepare Service Technicians labor performance productivity and efficiency reportsCoordinate and order parts for the service department under Service Manager Supervision and work with the parts department to resolve issues including freight deliveries and inventory discrepancies. Coordinate and calculate the proper freight charges for parts orders to the shopProcess and Distribute machine down freight each morning. Closely work with technicians to ensure proper parts are ordered for the service department. Pull and distribute parts for technicians. Order and manage machine down freight properly under the service manager's direction.Print a list of all back-ordered parts and feedback as to expected ship dates or status updatesEnsure the shop returned parts or cores are made available to Parts Department in a timely manner for accurate restock and or returnCoordinate and process oil sampling programMay participate in Service Training programs required for the development of skills and knowledgeMaintains a clean work area and preforms work in a neat and orderly fashionFollows all safety rules and regulations in performing work assignmentsMaintains knowledge of John Deere and competitive productsPerforms other related duties as required and assignedMaintain regular on-site attendance

Education, Skill, & Knowledge Requirements

High School Diploma, GED or equivalent experience required; Associates degree preferredExperience working in service departmentExperience with basic accounting practicesExperience with basic computer functionsExperience working cooperatively in a team environmentExperience communicating effectivelyAbility to sit or stand for long periods of timeAbility to lift up to 25 lbs
