Position Overview
As an Expeditor for our New York-based Engineering and construction firm clients, you will be responsible for facilitating the timely and efficient execution of construction projects. Your primary role will be to coordinate and expedite various aspects of the project, ensuring smooth operations and adherence to project schedules. You will work closely with clients, contractors, vendors, and internal teams to streamline project activities and ensure successful project delivery.


Key Responsibilities:
  • Project Coordination: Collaborate with project managers, engineers, architects, and other stakeholders to understand project requirements, timelines, and deliverables. Assist in creating project plans and schedules, identifying critical milestones and dependencies.
  • Permitting and Approvals: Facilitate the timely acquisition of necessary permits and approvals from relevant regulatory bodies. Liaise with local authorities, obtaining and submitting required documentation. Ensure compliance with all legal and regulatory requirements throughout the project lifecycle.
  • Procurement and Logistics: Coordinate the procurement of construction materials, equipment, and services required for the project. Work with vendors and suppliers to obtain quotes, negotiate contracts, and ensure timely delivery of materials. Monitor inventory levels, track shipments, and manage logistics to ensure materials arrive on-site when needed.
  • Documentation and Reporting: Maintain accurate project records, including permits, approvals, contracts, and correspondence. Prepare and distribute regular progress reports to clients, contractors, and internal teams. Document any project changes, delays, or issues and communicate them to the relevant stakeholders.
  • Communication and Stakeholder Management: Serve as a primary point of contact for clients, contractors, and vendors. Facilitate effective communication and collaboration among project stakeholders. Address and resolve any project-related issues or concerns raised by clients, ensuring their satisfaction.
  • Quality Control and Inspections: Collaborate with quality control inspectors to ensure that construction activities meet specified standards and requirements. Conduct regular inspections to identify and address any non-conformities or quality issues. Coordinate necessary corrective actions and verify compliance.
  • Cost and Budget Management: Assist in monitoring project budgets and controlling costs. Track project expenses, review invoices, and verify accuracy. Collaborate with accounting and finance teams to ensure timely and accurate payment of invoices and adherence to budgetary guidelines.

Job Requirements

Qualifications and Skills:
  • Bachelor's degree in civil engineering, construction management, or a related field is preferred.
  • Proven experience as an Expeditor, Project Coordinator, or similar role within the civil and construction industry.
  • Strong knowledge of construction project management processes, permitting, and regulatory requirements.
  • Familiarity with construction materials, equipment, and services commonly used in civil projects.
  • Excellent organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
  • Strong attention to detail and ability to work under pressure to meet project deadlines.
  • Effective communication and interpersonal skills to collaborate with clients, contractors, and vendors.
  • Proficiency in using project management software, spreadsheet applications, and other relevant tools.
