DescriptionJob Summary:The Senior Coordinator will provide administrative support to the Chief Marketing & Communications Officer. You will manage calendars, relay timely and sensitive messages and information, process documents, book travel, and manage projects as assigned. You will work collaboratively and strategically across Academy-wide initiatives and programs.Duties and Responsibilities:In support of the Chief Marketing & Communications Officer, schedule meetings, sessions and calls, make travel arrangements, and manage invoices and expense reimbursements.Provide logistical and administrative support for internal and external meetings including those with teams that reside inside the Marketing & Communications team including Brand Creative, Communications, Marketing and Digital Marketing.Work with team members on various special events and press opportunities including the Student Academy Awards, Gold Rising events, member meetings, Academy Museum events and all Oscar-related special events.Process invoices and track expense reimbursements for department and senior leaders.Maintain confidential records, data and documents pertaining to department administrative needs and any notes and data related to those files.Review a variety of documents for proper formatting and spelling to ensure consistent output.Other duties and special projects as assigned.Position Requirements

Qualifications and Requirements:A bachelor’s degree in marketing, communications, or other related field.2+ years of experience supporting a high-level executive. Experience in film, entertainment and PR agencies preferred.Ability to work discreetly and professionally with high level executives, VIPs, and boards, and with Academy members, outside companies and the public.Outstanding communication skills, including highly professional verbal and written communication skills with special attention to detail and accuracy.Proficiency in MS Office applications (Outlook, Word, Excel, and PowerPoint). Experience with relational databases a plus (CRM desired).Ability to work, meet deadlines, and remain flexible to last minute changes in a fast pace and high-pressure environment.Availability to work some nights and weekends as needed and possibly assigned on short notice.If hired, we require all employees to be vaccinated against COVID-19, unless a medical or religious accommodation is needed as determined on a case-by-case basis.The expected starting hourly rate for this role is $23.00. The actual base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and other factors permitted by law.
