Job Description
Greet, assist, and/or direct all visitors including customers, newcomers, clients and vendors to host employeesEnsure that the Reception area are kept tidy and clean alwaysUpdate calendars and schedule meetingsTop management visits/meetings organizationRandom Reservations/bookingsIncoming & outgoing correspondenceManagement of recycling and creating Eco-friendly environmentOffice related taxi services & transfersMusic scheduling in reception and canteen (if applicable)Daily security questions, cooperation with security guardsOrder front office supplies and maintain in stockSwiped On system daily maintenanceJIRA, ticket monitoring, re-assigningDocument flow for incoming/outgoing mails & cargo (Post Office, International courier services)Bio Star fingerprint access system, Access Cards, control of resignation files/ file administration in terms of Office Management needsAssisting other administrative staff with overflow work, including word processing, data entry and research.Additional projects based Office Management needsPerform his/her duties in accordance with standards and procedures established by the companyComply to Internal Policy and instructionsPerform job obligations in proper, high quality and timely mannerEnsure compliance and accuracy of the provided informationTimely execution of any other reasonable tasks provided by the Direct Manager falling within the held positionReplace colleagues during their vacations, sick leaves and other absences, provided that replacement take place during working time and shall not be considered as additional workEnsure full attendance at trainings and workshops necessary for job assignments according to the development plan and request of the Direct ManagerBe Care for assigned work resources and itemsCarry out the activities related to person safetyQualifications
Secondary education. Preferably higher educationFluent English (verbal and written)Excellent written and verbal communication skillsHigh sense of responsibility, punctuality, accuracy, and attention to detailsThe ability to accurately fulfil the direct management orders and work tasksTact and discretion, for dealing with confidential informationMultitasking- flexible and adaptable approach to work, the ability to work with fast-paced, everchanging environmentThe ability to work independently and in a teamAt least 1 year experience in management, customer service, administration, or any other related field
