Adecco Creative and Marketing is searching for a Marketing Assistant in the Stratham, NH area for a well-known Swiss chocolate retail company!Start is mid-August through Mid-February; could be extended pending performance5 days a week on-site, could go down once trained$30/hrThe person in this position is responsible for administratively supporting the Marketing Leadership team and marketing team in general. This person also is managing project-related work across key teams within marketing, such as: Brand, Creative and Communications.Essential Job Functions/Key AccountabilitiesAdministrative SupportComplete administrative functions for the Marketing VP and Directors routinely and the remainder of the marketing team on an as-needed basis.Support the coordination and effectiveness of meetings by scheduling, reserving conference rooms, preparing materials as requested, partnering with IT, working with facilities to ensure room-set up, ordering catering, working with security, transportation logistics both for internal and external guests as needed. Overseeing the logistics of weekly meetings such as Marketing Staff.Support the coordination of meetings off-site for smaller and larger marketing group. Working within budget given. Often coordinator will travel to the location of the meeting and set-up if needed.Facilitate the travel requirements for the Marketing VP and Directors by making cost-effective travel arrangements which adhere to established parameters, edit arrangements as needed and file timely expense reports. Expense reports only as requested by VP. Leadership team (directors) to file their own expense reports unless otherwise requested to do.Handle confidential information with a high degree of independent judgment to ensure the integrity of all incoming and outgoing information.Ensure that general clerical work is completed including filing, scanning documents, sending emails, directing callers, act as first point of contact for the department for outside inquiries, ordering supplies and responding to requests for information in order to support work of the Marketing VP and Directors.Facilitate information flow by serving as a liaison between VP, directors, cross-functional teams and agencies. Example: make internal and external announcements on behalf of the Marketing VP and leadership team.Coordinate and Maintain updated Price List documents for all relevant product lines across the portfolio (Including seasons)Liase across departments as needed to ensure accuracy and timely delivery of price lists for sales counterpartsAdditional:Manage calendars for VP and directors as neededNew Hire OnboardingBuild onboarding schedules for new hires, work with hiring manager to buildCheck in with new hire during first few months, field requests as they're getting settledInvoicesWork within software to re-assign relevant invoices to appropriate team members in MarketingAppropriately Code all invoices for Team in a timely mannerMaintenance requestsReach out to maintenance for any and all maintenance requests affecting the marketing and sales teams.Distribute inquiries from Consumer Services to appropriate team. Deem whether or not they are legitimate.Purchase ordersWork with purchasing to order nameplates, office needs, etc.Product closetsMonitor product closet access and organizationMonitor key process in agreement with ISO processWork with International MarketingLarge meeting coordination such as PUM, MDM, MPD Intro Days, etc.Ad hoc requests for graphics, other materialsParties/CelebrationsCoordinate catering, decorations, cards, gifts, etc for outside and internal events

Project CoordinationProvide support in the planning and coordination of the annual meetings such as: Marketing Plan Dialogue meeting with Group Management, Sales and Broker Meetings, Trade Shows and Canada Coordination meetings. This includes and not limited to: coordinating alignment meetings, and competitive sample coordination, room set up, agenda creation / distribution, presentation binders and ensuring all logistics are executed in a timely manner.Support the Marketing Team on an intermittent basis with marketing projects that involve, but are not limited to, requesting samples, coordinating shipments, supporting focus groups, and executing promotional administrative details. Creative services and communications projects as well. Partner with key players/companies outside for samples.Assist with the development of presentations in PowerPoint by gathering, compiling and editing information and assist with finishing touches such as proofing, printing, copying, binding, etc. Make sure presentation runs smoothly in the room using technology prior to start.With the support and guidance of VP and directors, utilize internal reporting tools to create, update and disseminate basic sales tracking information.
