Job Summary

The Harvard Graduate School of Design (GSD) educates design, research, and scholarship leaders to make a resilient, just, and beautiful world. The GSD offers degree programs across a range of design disciplines-architecture, landscape architecture, urban planning, urban design, design engineering, and real estate-as well as advanced research programs that cut across these disciplines and a robust public program of lectures, exhibitions, and publications. The Staff Assistant in Communications and Engagement advances communications and engagement efforts for the Development and Alumni Relations Office (DevAR) at the Harvard Graduate School of Design (GSD). The responsibilities of this role include coordinating and executing communications initiatives directed at alumni and friends, assisting with project planning and management, and supporting engagement activities that are critical to department fundraising, engagement, and stewardship efforts.

Position Description

TYPICAL DUTIES AND RESPONSIBILITIES:

Write, design, and deploy digital marketing campaigns.Generate and maintain content for alumni and friends on the GSD website.Organize and manage the inventory of collateral materials, publications, branded materials, photography, and event supplies.Compose and proofread news items, letters, and stories for an audience of alumni and friends.Prepare correspondence, reports, metrics, and other materials using MS Office and development database.Provide on-site support for local DevAR events.Enter contact reports in the development database.Oversee external inquiries and requests received through the office's email inboxes. Respond to requests and route as appropriate.Perform general administrative duties, including: scheduling projects and meetings; taking notes; arranging for faculty, speaker, and staff travel; organizing files; supporting DevAR meetings and volunteer councils.Other duties and administrative tasks as assigned by the Director of Development Communications and the Director of Student-Alumni Engagement.Please note: Some evening and weekend work is required to support events.

SUPERVISORY RESPONSIBILITIES:

There are no supervisory responsibilities associated with this position.

Basic Qualifications

HS Diploma or equivalent.Minimum of 3 years' full-time work experience in event planning/digital marketing or equivalent transferable experience.Microsoft Office and strong computer skills in a PC environment with the ability to master new software applications and technologies in database management.Must demonstrate excellent written and verbal communication and customer service skills.

Bachelor's degree preferred.Ability to anticipate, take initiative, and resolve problems to effectively fulfill responsibilities.Ability to work independently and flexibly.Must be professional, enthusiastic, collaborative, focused, motivated to learn, reliable, able to change, and able to work effectively with people from different backgrounds and experiences.Embody a high degree of professionalism with the ability to handle sensitive and confidential materials with sound judgment and discretion.Have an interest or background in higher education, museums, fundraising, or arts and design/the design professions.Have a proven track record of providing exceptional customer service.Be creative and curious, interested in researching and brainstorming new event and promotion ideas, attending GSD public lectures and events, and engaging with colleagues outside of the DevAR team.Have a strong attention to detail and consistent follow-through with the proven ability and judgment to take initiative.Must be highly organized, detail-oriented, conscientious, and efficient, with the ability to handle multiple tasks accurately under deadline pressure.Accept challenging projects and be eager to develop new skills in a fast-paced and flexible environment.Conscientious team member with the ability to work independently.Familiar with content management systems, including WordPress and Salesforce, event registration and management platforms, and the Adobe Creative Suite.Committed to valuing diversity and contributing to an inclusive working and learning environment.

Working Conditions

This position is based in Cambridge, MA, and requires on-campus work one or more days a week. The work is mainly performed in an office setting. Flexible work options for this role will be discussed during the interview process.
