Job Description

The US Events Coordinator is responsible for planning, organizing, coordinating, and effectively and efficiently managing and overseeing both physical and digital corporate events on behalf of Skyborne. Developing an engaging and informative event program that supports an increase in brand awareness, attracts new students, supports our airline relationships and where required, attracts new talent to the business, supporting recruitment needs. Using innovative ideas and platforms, the goal is to ensure that Skyborne’s physical presence delivers excellence at every interaction and that each event is maximized to its full potential, successfully, cost-effectively and on-time. The role involves managing a calendar of both Skyborne organized events and industry or target audience-based events, both in person and via webinar platforms, to ensure suitability and fit that meet Skyborne’s corporate objectives.

This support role is integral to conveying the correct messaging to Skyborne’s stakeholders, to ensure we are considered the Approved Training Organization of choice. Excellent organizational skills, innovation and creative thinking are a must to ensure that Skyborne appeals to a wide audience and is differentiated through quality, safety, and professionalism.

Key Responsibilities and Accountabilities

Developing and overseeing a comprehensive digital and physical event calendar for the US Academy that supports business objectives and needs.

Identifying new external event attendance opportunities that meet target audience requirements, both digital and in-person.

Communicating with US colleagues and researching markets to understand that not all events can be approached in the same way and that the differences between our locations, programs and target markets will need to be reflected in event management to ensure success.

Liaising with students and staff to ensure each event is suitably supported with an efficient and knowledgeable team from key business areas.

Setting measurable, approved KPI objectives based on previous attendance or research of similar events, including footfall, leads, stock quantities, staffing requirements, budget spend, return on investment and key messages to be communicated.

Following every event, complete a post-event report that summarizes the success of the event against key metrics with input from those who attended, including students and staff and making recommendations for future attendance. The report to be proactively circulated to Marketing and shared in the SLT meetings.

Responsibility for maintaining the website events pages and promotional roundels to promote upcoming events and manage attendance capacity.

Responsibility for managing pre-event bookings and monitoring capacity levels through Eventbrite or alternative booking platforms, arranging communication for when events have sold out or capacity is still available.

Following each event (both digital and physical), create survey communications to be sent to attendees and those who could not attend to get feedback and provide further information, cross selling other suitable events (where appropriate).

Coordinating a working party of key stakeholders for each physical event or new digital event initiative ahead of time that informs required attendees of event KPIs and gains business support to allow for capacity planning and expert input. Keeping relevant stakeholders up to date throughout the planning process.

Ensuring all support requirements from other team members is briefed in a suitable time frame prior to the event that allows for an appropriate approval process, and that any presenter opportunities have been communicated with individuals in advance and the planned presentation or script shared.

Ensuring all branded presentations and videos/images required are accurate, proof-read and effectively communicate Skyborne’s desired narrative.

Liaising with event vendors to identify added value benefits that could be included as part of the event attendance package or suitable membership/sponsorship opportunities.

Using the digital platform chosen by Skyborne, take ownership for the platform and develop a training manual so that others can also create and use the platform for digital events.

Supporting internal stakeholders and business needs, create a calendar of digital events through digital platforms or through Teams if two-way communication is required, making recommendations for the best use of the platforms and how to make the most of the tools available to deliver results.

Ensuring that all digital events deliver a positive Skyborne experience, using innovative creative design and ideas and a range of media, making the most of all the immersive tools available.

Ensuring all digital presenters have been fully briefed on the digital platform being used and have a strong understanding of how to navigate through and describe the interactive tools, including external stakeholders who are co-presenting.

Briefing and supporting the design of event material such as handouts and exhibition stands/roller banners and designing/sourcing branded merchandise. Working with the wider marketing team to understand briefs and deadlines for creative output.

Working with the Group Content Creator, producing a range of templates to work with that provides a uniform, consistent brand look and feel, whilst giving flexibility to portray our key messages at events. This includes social media templates (reels, images, text based), handouts, leaflets, PDF downloads etc. Where possible, aim to template event packs that allow efficiency.

Annually submit budget recommendations for event support, management, booking and expenses for approval based on a comprehensive event calendar. On approval, coordinate events in line with budget limitations.

Responsibility for hiring external event suppliers/bookings in line with budget restrictions, including overnight accommodation, meals, entertainment and novelty additions such as camera booths etc.

Providing pre-event briefing documents to Skyborne representatives so they understand the event objectives, where possible a minimum of a week ahead of the event.

Presenting recommendations to US Commercial Director and Senior Leadership Team with new event ideas that support business goals.

Degree or equivalent education in a marketing/hospitality management or related subject.

Effective time management to ensure on time delivery that meets pre-agreed deadlines.

A team player with excellent organizational skills.

Outstanding communication and interpersonal skills, both written and verbal, to deal effectively with internal and external contacts, across all levels.

Previous experience within a marketing function.

Creative with the initiative to identify and maximize marketing opportunities.

A positive, can-do attitude with a knack for problem solving.

Ability to concentrate and work in a fast-paced environment.

Readily accepts changes and adjusts accordingly.

Knowledge of the U.S target audience and how they react to messaging

Contingent to employment, all candidates must pass a drug screening and background check, along with TSA badging-if required for your role.

Salary range: $60,000 per year (DOE)
