We are a welcoming destination for living, working, and visiting that – combined with our core values of accountability, innovation, trust, industriousness, and friendship – create an environment with opportunities to make a positive impact for our community.THE ROLEThe Administration Specialist, Communications is responsible for performing a variety of specialized and administrative functions supporting the City’s digital, brand, and communication strategies and providing assistance to Administration. The individual in this role will assist in the planning, content development, execution, and measurement of marketing and communications campaigns across various channels to include email, social media, digital advertising, and City’s website. The Administration Specialist, Communications supports the City initiatives and projects with a focus on keeping residents, employees, and the larger community engaged and informed.Manages and creates documents, correspondence, and calendars for the City Clerk, City Administrator, Elected Officials, Municipal Court, and Boards, Commissions, and Committees (BCCs).Archives City records and legal documents to include ordinances, resolutions, agreements, Municipal code, election records, and other documents in accordance with state and local retention polices and statutes.Assists with agendas, meeting packets, minutes for Common Council and BCC meetings.Supports election functions including voter registration and absentee ballot applications.Processing annual Alcohol, Tobacco, Cabaret, Amusement, Operator, Sellers & Solicitor and Event applications, permits, and licenses.Writes, edits, and publishes content for various communication projects and marketing platforms to align with strategic initiatives and established communications campaigns for the City; Monitors reach and effectiveness of communication campaigns, projects, and initiatives.Produces, edits, and creates content for news articles, press releases, newsletters, advertisements, informational or educational activities, and ad-hoc communications or marketing needs; Develops and maintains creation of a content calendar/schedule for social media platforms, the City website, and other resident/community communications.Creates and distributes a monthly resident newsletter, broadcast emails, and works with Administration and Senior Leadership Team to develop, organize, and execute public information campaigns for important City projects.Manages the City’s social media platforms to include Facebook, Twitter, Instagram, and YouTube. Maintains the City’s website.Supports a cohesive brand image and voice by providing templates, logos, images, and materials for staff use.Performs various support and administrative duties to include greeting the public at the front counter, on-site event or project support, database management, managing software program accounts, reporting and analytics, maintaining marketing materials and stock, and filing.Other responsibilities as assigned.RequirementsQUALIFICATIONSWhat does it take to succeed in this role? We’re looking for a motivated individual with strong project management skills and a willingness to learn. You should also have:High school diploma or GED. Associates degree or higher in Communications, Public Administration or similar preferred.Two (2) or more years of experience in a business office setting or communications role.
