This position supports the PICA segment of our medical professional liability line of business, which provides professional liability coverage to dentists, podiatrists and chiropractors.

This is a hybrid role based in Franklin TN.

Job Summary:

The Marketing Services Coordinator supports the PICA Group Marketing Department in effectively and efficiently executing the programs and strategic initiatives related to building brand awareness and all sales and marketing efforts. This position offers considerable opportunities to develop strong skills in project management, leadership, communications, relationship building, and marketing strategy required in meeting the objectives of the PICA Group Marketing Department.

Essential Duties and Responsibilities:

60% - Coordination/Project Management Support:Project management of a variety of large, strategic internal and external communications, coordinating the skills and efforts of a diversely skilled team for an effective and efficient completion of each.Report and analyze key marketing campaigns including emails, website, and social media.Assist in coordinating residency and student programs including sending materials, coordinating with speakers, and event logistics like booking event space and arranging food and beverage options.Assist management in the project intake process including routine assigning, record keeping, reporting, auditing to ensure compliance, and creating a monthly summary of highlighted marketing projects for the Executive Team.Manage the annual review and revision process of marketing materials to ensure branding, content, and legal compliance, including project status review and reporting for the team.Handle the coordination of speaking events including gathering bios, headshots, course descriptions, and speaker contracts. This role will also assist in the retrieval, recording, and analysis of events including recorded webinars, live conferences, podcasts, and risk management programs with various partners (agents, groups, associations).Coordinate budgeting, speaker proposals, invoice processing, and proper recording of speaker/vendor contracts.Coordinate and measure events including webinars, podcasts, and tradeshows.Represent the department when assigned in building and maintain strong collaborative relationships between PICA Group and a group of high performing agent partners.Assist in coordinating internal marketing campaigns by representing the department on various committees.45% - Operations and Administrative Support:

Coordinate calendar and travel arrangements for Chief Medical Director.Administrative support, meeting coordination, and reconciliation of expenses for department management or senior leadership as needed.Coordinate creation, approval and execution of all third-party contracts.Assist in the annual development, management, and routine monitoring of the department's budget process, including overseeing the proper and timely submission of invoices into our accounts payable system.Coordinate event logistics including booth set up, travel arrangements, and promotional material preparation. Collaborate with Risk Management, Business Development and other internal teams to gather insights for effective events.Monitor industry competitors and marketing news, as well as conduct other assigned market research projects and submit reports to the team.Secondary Responsibilities:

5% - Other marketing and project management duties as assigned by the department management team or senior leadership.

Qualifications:

A bachelor's degree is required with a preference for study in Marketing, Communications or Business Administration. A high school diploma or G.E.D and a minimum of eight years relevant experience is required for candidates without a bachelor's degree.Minimum of three years of project management experience and marketing operations required.Highly organized with a strong attention to detail.Proven relationship building skills.Accomplished written and verbal communication skills.Proficient in Microsoft Office including Outlook, PowerPoint, Word, and Excel.Experience with Trello and HubSpot a plus.

Position Salary Range$47,937.00 - $79,103.00The salary range displayed represents the entirety of the pay grade for this position. Most candidates will start in the bottom half of the range. Factors that may be used to determine your actual salary include your specific skills, how many years of experience you have, your location and comparison to other team members already in this role.
