Associate Director, Marketing Operations,

reporting to the Director, Marketing, will be responsible for managing a wide range of marketing operations activities with minimal supervision. The incumbent’s ability to anticipate needs, interact effectively with professional associations and healthcare providers, and communicate seamlessly with the Head of Marketing will be crucial.ResponsibilitiesConference Planning:Lead the planning and execution of national and regional conferences, ensuring alignment with marketing objectives.Manage logistics, including venue selection, contract negotiation, coordination of on-site activities, and satellite events.Develop and oversee timelines, budgets, and promotional materials.Collaborate with cross-functional teams to ensure successful conference participation.Advisory Board Operational Planning:Organize and manage the logistics for advisory board meetings, including scheduling, contracting, venue arrangements, travel coordination, travel & expense reimbursement, and payments.Work closely with key opinion leaders and healthcare professionals to facilitate productive advisory board sessions.Prepare and distribute meeting agendas, materials, and follow-up communications.Promotional Speaker Bureau:Oversee the planning and execution of the promotional speaker bureau, ensuring alignment with strategic marketing objectives.Manage venue selection and logistics for speaker events, coordinating closely with the speaker program vendor.Collaborate with Key Account Managers (KAMs) to schedule and manage events, ensuring they meet both marketing goals and compliance standards.Facilitate communication between speakers, vendors, and internal stakeholders to ensure seamless execution of events.Monitor and evaluate the effectiveness of speaker programs, providing feedback and implementing improvements as necessary.Promotional Review Committee (PRC) / Medical Review Committee Coordinator (MRC):Coordinate the review and approval process for materials, ensuring compliance with regulatory guidelines.Schedule and facilitate meetings with the promotional / medical review committees, including preparing agendas and tracking action items.Maintain detailed records of committee decisions and ensure timely implementation of approved materials.National Sales Meeting (NSM) / Plan of Action Meeting Planning (POA):Plan and execute NSM and POA meetings, aligning with strategic marketing goals.Manage all logistical aspects, including venue selection, agenda development, and coordination of presentations and materials.Work closely with sales leadership to ensure meetings are productive and impactful.Skills & RequirementsProven ability to work independently and anticipate needs in a fast-paced, start-up environment.Excellent communication and interpersonal skills, with the ability to interact effectively with healthcare providers and professional associations.Strong organizational and project management skills, with attention to detail and the ability to manage multiple priorities.Experience with conference planning, advisory board logistics, and promotional review processes.Demonstrated experience in planning and executing conferences, advisory board meetings, and national sales meetings.Familiarity with regulatory guidelines and promotional review processes in the pharmaceutical industry.Strong team player with a collaborative mindset and a proactive approach to problem-solving.Veeva PromoMats, Veeva CRM, and JetMail experience required.Ability to travel up to 50% of the time, especially during the fall months.Valid documents to meet domestic travel requirements.QualificationsBachelor’s degree in marketing, business administration, or a related field.8+ years of experience in marketing operations, preferably in the pharmaceutical industry.Physical DemandsFrequently travel for business meetings.Occasionally mobile within the home office environment.Routinely in a stationary position for extended periods of time.Constantly operate a computer, printer, telephone, and other similar office machinery.BenefitsCompetitive salary and benefits package.Medical, dental, vision (most tiers are fully compensated by Pyros).HSA and FSA.Life and supplemental life insurance.401(k) with company match.Generous PTO with rollover.Generous holidays.Pyros is an equal opportunity employer.
