Under the supervision of the Head of Interlibrary Loan, the ILL Assistant supports the processing of borrowing, lending, and document delivery requests for Skidmore College community and non-Skidmore libraries during the Fall/Spring academic terms when Skidmore College is in session. The ILL assistant provides office coverage and assists with all time-sensitive ILL activities, including stacks searching, processing incoming and outgoing borrowing/lending materials, as well as document scanning /delivery from Hoge, our on-campus storage facility. Complete additional data entry tasks as needed. Although some tasks are repetitive, attention to detail must be maintained throughout. The ILL Assistant must cultivate productive working relationships with numerous colleagues including the ILL head, student assistants, and the libraries we lend and borrow from. This job requires regular interaction with other library departments include Circulation, Bibliographic Services, and the Systems Librarian.Duties:+ Fulfill document delivery and lending scanning and microfilm requests held at the Hoge library storage facility on campus.+ Provide excellent customer service with external libraries and campus patrons to clarify ILL policies and procedures and to resolve citation issues with ILL requests. Maintain strict patron confidentiality.+ Process interlibrary loan lending requests received from non-Skidmore libraries via Rapid-ILL and OCLC ILLiad. Perform library catalog searches and journal searches to determine ownership, availability, and location of requested materials. Process journal requests and deliver articles via Odyssey, Article Exchange, or email. Prepare pull slips to use in searching stacks for requested items.+ Process interlibrary loan borrowing requests. Verify, locate, and request from other libraries items for use by Skidmore students, faculty, and staff. Request material from holding libraries using via Rapid-ILL and OCLC.+ Assist with the training and monitoring of up to five student assistants. Provide assessment and recommendations related to training and performance.+ Process outgoing shipment of materials via UPS or Empire Library Delivery (courier system). Certify condition of material, shipping location, and accuracy of addresses, and ensure all other applicable requirements are met.+ Perform other library duties as assigned. May assist other departments in various projects or coverage.Education: Associate’s degree preferred.Experience: At least 1 year of experience working in a library setting. Preference given to individuals with experience using interlibrary loan platforms, library databases and/or systems.Successful job performance entails:+ Knowledge of library operations; familiarity with searching library catalogs, databases and the Library of Congress Call Number system+ Ability to use ILL equipment such as flatbed scanners, microfilm reader, and UPS equipment+ Facility with computer-based ILL programs such as ILLiad, IDS, Rapid-ILL or similar systems+ Ability to adapt to and use new emerging technology and platforms+ Maintenance of strict confidentiality when handling library records and other restricted informationPhysical Work Environment: Because Interlibrary Loan workflows involve borrowing and lending of physical library materials, physical demands include repetitive motion, lifting objects, bending, kneeling, walking, standing, frequent reaching, pushing/pulling book trucks, and carrying library materials to and from the library’s mailroom. In addition, this person must be able to travel across campus regularly to the library’s offsite storage facility to process scanning requests. This position may be expected to participate in major collection shifting projects as needed.
