The incumbent will gain hands-on experience managing a wide range of projects, problem-solving complex timelines and bandwidth demands of our team, and facilitating internal and external partnerships. The coordinator will learn the fundamentals of project management with a team on the brink of launching a capital campaign. This position offers ample opportunities to deepen the coordinator’s knowledge of project management or other communications-related interests. We have flexible scheduling for those who choose to take classes to facilitate your dedication to lifelong learning. Reporting to the communications strategy and operations director and working closely with the department associate director and the associate vice president of communications, duties include but are not limited to:+ Help manage incoming communications projects, participating in intake meetings with requesters, building and maintaining project timelines, and evaluating projects as they proceed.+ Facilitate cross-team engagement and collaboration, b rainstorming solutions to challenges and developing means of tracking progress through Wrike, our project management software.+ Maintain the calendar for the Associate Vice President of Communications, coordinating schedules, updating agendas, scheduling recurring meetings, and securing focus time for the AVP.+ Assist with short-term communications projects and process monthly expenses.+ Organize communications team’s events, such as summer retreats and quarterly gatherings that create unique opportunities to build team cohesion; collaborate with other OA staff members in planning of office-wide events.+ Monitor progress of vendor contracts and report on purchase order balances, ensuring external partner vendors, maintaining up-to-date payment schedules, and working closely with the finance team to field concerns with invoices, purchase orders, and contracts.+ Leverage tutorials and helpful resources to become an expert in Wrike, our project management software, and serve as the point of contact for new employee tutorials, helping to troubleshoot issues as they arise.+ Stay up-to-date on Wrike system updates and trends, assist with internal communications projects to grow your knowledge base, and pursue professional development opportunities as they arise.Requirements and Qualifications+ Bachelor's degree or equivalent experience+ 1-2 years of project management or coordination experience+ Experience (and success) in a deadline-driven environment with strong organizational skills+ Ability to efficiently and effectively manage concurrent projects+ Commitment to diversity, equity, and inclusion+ Highly collaborative and thrives in team-oriented environment while also able to work independently as-needed+ Excellent organizational and communication skills+ Knowledge of Google Suite, Microsoft Office, and Adobe Acrobat+ Embraces the concept of cura personalis (care of the whole person) and seeks to demonstrate respect, grace, and empathy for their co-workers+ Experience with a project management system is preferred but not requiredWork Mode DesignationThis position has been designated as Hybrid.
