You will be sent an eligibility letter regarding your eligible/ineligible status.+ WORK EXPERIENCE : The application must clearly show four ( 4 ) years of full-time experience in special events (municipal special events experience preferred), customer service, public relations, project management, or a related field. (Full-time is defined as 32 hours or more per week. Less than full-time experience will be calculated on a pro-rated basis.)+ EDUCATION/TRAINING : The application must clearly show an Associate's Degree in Public Administration, Business Administration, Public Relations, Communications or a related field. ( See NOTE under the General Application Requirements Section above regarding the verification of education/training ).+ EQUIVALENCY : Education/training and/or work experience may be substituted on a year for year basis if the application clearly shows the required number of years to meet the Total Qualifying Requirement for this position (based on the sum of work experience and education/training listed above). The Total Qualifying Requirement is six (6) years. Candidates who receive job offers must pass a medical examination (when applicable) prior to start date.+ Written : None required for this position.+ Performance : None required for this position.+ Medical : None required for this position.POSITION DUTIES+ Coordinates the Special Events Permit and Film Permit application process , which includes receiving and reviewing applications for accuracy and ensuring that they adhere to City Code and Special Events regulations.+ Receives and records applications; ensures applications are complete and ready for review; ensures all required documents are included for special events, films, and secondary employment; answers inquiries pertaining to permitting process.+ Assists various community and outside organizations in utilizing the City's services when holding or planning to hold an event by explaining policies, procedures, and requirements; may assist with site selection and/or date availability .+ Assists representatives of television and f ilm p roductions with navigating the City’s regulations on commercial filming, including but not limited to policies for residential neighborhoods and business districts, fees, scheduling of city assets, and information dissemination.+ Maintain s communication with applicants, relevant City departments and Special Events Committee members throughout review and approval process to ensure that requested or required services are being accurately coordinated.+ Create s agendas for and conduct s weekly Special Events Committee meetings.+ Create s and maintain s an accurate calendar of s pecial e vents and f ilm p roductions to be used to ensure no potential conflicts regarding time, place, or resource allocation , for determining location and date availability, assessing available resources and for distribution to affected stakeholders for notification purposes.+ Receives inquiries via phone, email or in-person regarding special events from outside organizers and deter mines whether a Special Events p ermit is required.+ Acts as a liaison to public safety personnel and outside agencies, as requested by manager.+ Receives public walk-in requests for permits.+ Types and issues permits at the request of the Special Events Program Manager; generates reports; updates special events calendar.+ Prepares and transmits invoices to event organizers and film producers ; ensures all invoices are accurate and include all necessary charges from all relevant departments; ensures all invoices are paid on time.+ Performs other related administrative tasks and duties as assigned.CLICK HERE to view the full job description including knowledge, skills, and abilities and working conditions for this position.
