The Estimating & Marketing Coordinator is a highly valued member of the Business Development/Marketing and Estimating teams with Fiore & Sons. The Estimating & Marketing Coordinator provides essential administrative and support functions, as well as strategic and creative marketing support for the company. The Estimating Coordinator is responsible for managing project folders, maintaining master files, and ensuring that the Estimating Team is equipped with all necessary documentation for their bid packages as well as ensuring that all branding, collateral, and communications are in line with Fiore & Sons’ values and reputation.

COMPENSATION:

$28.56 to $39.42 per hour dependent on experience, skills, and level of hire

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Estimating

Assists the Estimating team with gathering all bidding materials, including blue prints, contractual bidding requirements, and project schedules to create bid packages.

Builds and manages project folders in shared drive and creates phase codes for all projects for use by the Estimating team.

Manages all critical proposal and prequalification files, such as the Statement of Qualifications, Bid Bonds, Bid Forms, and Prequalification Statements and Renewals.

Downloads all project plans and ensures all files are accessible to team members.

Creates, updates and maintains all master files, including resumes, master SOQs, project summary sheets, boilerplate information, contractor licenses, safety data, etc.

Maintains Estimating tracking, license renewal, and vendor spreadsheets.

Coordinates subcontractors, vendors, and suppliers bidding and pricing proposals and leads process for vetting new vendors by sending necessary company and project information to vendor, completing and routing forms as necessary to internal stakeholders, and following up as needed with all involved.

SOQ/RFQ/RFP planning, coordination, preparation and tracking.

Assists with producing reports and presentations.

Ensures quality control and drives continuous improvement initiatives.

Performs other duties as assigned

Marketing

Utilizes their knowledge and understanding of marketing best practices for all projects and assignments.

Implements graphic design concepts and utilizes various software to successfully create branding and messaging.

Supports other departments for SOQ/RFQ/RFP design and development.

Assists with producing reports and presentations for various events and communications.

Provides support with print and digital advertising, social media, website, and Fiore App.

Works with the Director of Business Development to manage company give-away/swag selection and collateral materials inventory.

Supports Estimating Department to create, update, and maintain master resumes, project descriptions, boilerplate information, graphic and photo libraries, and other collateral materials.

Participates in Business Development and other corporate events and programs.

Partners with Executive Assistant as Event Coordinator for company-wide events.

Ensures quality control and drives continuous improvement initiatives.

Participates in brand development to assure compliance and consistency.

Supports needs of cross-functional teams throughout the company.

Performs other duties as assigned.

QUALIFICATIONS

Significant initiative, ownership, and follow-through, with a can-do attitude and the ability to effectively prioritize, manage time and projects and work independently.

Superior communication skills with the ability to successfully interact and collaborate on an interpersonal level with multiple stakeholders and with cross-functional teams as well as effectively communicate messaging and branding in all written communications.

Strong attention to detail and organizational skills to ensure accuracy in all deliverables.

Exceptional ability to balance conflicting priorities, adapt to changes, and work on multiple projects simultaneously.

Applicable experience in marketing with knowledge of best practices in traditional and digital marketing, content development, storytelling, and social media with proficiency in graphic and design software such as InDesign, Illustrator, Photoshop, or Canva, as well as a comprehensive understanding of the Microsoft Office Suite.

Ability to properly update, manage, and communicate various pieces of relevant information, including descriptions of work and services, historical company data and statistics, and corporate assets.

Flexibility and coachability, including adaptability to different teaching and management styles and responds well to critiques and process changes.

Knowledge of database concepts and analytics and experience with CRM (Customer Relationship Management) software preferred.

Highly professional in all aspects of the work environment with the ability to foster a positive and productive team environment.

Extremely eager and motivated to learn new skills and apply knowledge for process improvement.

PHYSICAL DEMANDS

Primary functions require the physical ability and mobility to work in an office and stand or sit for prolonged periods of time, occasionally bend, kneel, crouch, reach and twist to lift, carry or push, and/or pull light to moderate amounts of weight not to exceed 50 pounds. The position requires the operation of office equipment requiring repetitive and movement and fine coordination including use of a computer keyboard and to verbally communicate and exchange information.

WORK ENVIRONMENT

Potential for both indoor and outdoor work, including changing office temperatures, and exposure to variant weather conditions (hot, cold, rain, snow, etc.) and muddy ground conditions.
