Events include seminars, study groups, formal dinners, high-profile public events, conferences, and donor advisory committee meetings.+ Manages all event logistics including, but not limited to drafting invitations and other correspondence; booking event spaces; working with internal and external vendors; preparing travel arrangements (including visas as needed) and detailed visit itineraries; managing all event outreach/publicity; managing day-of event production including social media; coordinating post-event production and follow-up; processing payments and reconciling related costs.+ Creates and updates internal and external event briefings. Works with student research team to prepare event memos for faculty director.+ Coordinates all course logistics before and during January-term course in the Middle East (including 3 weeks in country).+ Helps identify potential speakers and subjects for MEI programming.+ Fosters relationships across campus to identify opportunities for program collaboration.+ Organizes MEI student-focused activities and events.+ Works with confidential information to assemble guest lists, biographies, and additional material for high-level events and school leadership briefings.+ Maintains records and databases.+ Other duties as required.Communications:+ Coordinates production and distribution of publicity materials for events and program opportunities, including social media, event e-blasts, press releases, and event summaries for the website blog.+ Manages and improves MEI’s website and social media portfolio.+ Collaborates with Belfer communications team to create communications strategies and materials.+ Creates and maintains lists of relevant student groups to help with event outreach.+ Helps publish annual reports and MEI outreach and marketing materials.+ Thinks creatively about how to better engage students with MEI’s programming.Administrative:+ Helps Associate Director identify, hire, and manage workflow of MEI research assistants.+ Processes invoices for communications and events team activities.+ Manages general MEI email account and program calendar.+ Helps team manage office suite (e.g., office supplies, printers)+ Other duties as needed.We are looking for someone who:+ Cares about the Middle East+ Is extremely detail oriented. Reporting to MEI’s Associate Director, the Program and Communications Coordinator is responsible for a diverse and exciting portfolio of events and communication projects. Working in an energetic and fast-paced office, this person will plan and execute logistics for high-level events and study groups, and in some years a January-term course in the Middle East. The position will oversee MEI’s communications portfolio, including but not limited to managing the website; developing and executing an engaging social media strategy; conceptualizing, drafting, and publishing MEI outreach and marketing materials (annual reports, event and program emails, outreach materials, etc.); and other items as needed.The successful candidate will be a motivated and resourceful self-starter with the ability to meet deadlines, creatively and independently problem-solve, track multiple projects and deliverables, and communicate clearly with a broad range of MEI stakeholders including senior MEI leadership, faculty, distinguished guests, and students.About the OrganizationThe Middle East Initiative (MEI) at the Belfer Center for Science and International Affairs is Harvard University’s principal forum for policy-relevant research and teaching on the contemporary Middle East and North Africa. MEI convenes policymakers, scholars, and intellectuals from the region and beyond to expand our understanding of this complex part of the world and to contribute to the search for solutions to its most pressing policy challenges.
