The Producer Assistant will work with clients to schedule and confirm appointments, complete and process account applications and investment transfers, maintain client databases and files, set up client information and financial planning tools, and prepare client budget worksheets. Performance will be measured by:Phones: Answer phones in a timely and professional manner. Callers should not receive voicemail of a producer until directed there by the assistant. No complaints on the professionalism of how the call was handled.Scheduling: Associates should not have any scheduling conflicts. All logistics should be completed prior to the meeting, such as client quotes and file delivery, meeting room scheduling, and appointment reminders to the client.Filing: All items should be filed in a timely and accurate manner. Contact histories updated in real time.Follow-up: Follow-up on all new business submitted within 3 business days and report and resolve all omissions ASAP.Key Job ResponsibilitiesAnswer phones for the producer(s). Screen and transfer calls. Take messages if necessary.Administer calendar for the Associate/Producer Group.Ensure items are ready for client appointments, such as pulling client quotes, appointment reminders, and reservation of conference rooms.Filing: Includes printing brokerage statements and ensuring contact histories are updated.Follow-up on all new business submitted.Help conduct service work such as address and beneficiary changes.Maintain strict confidentiality.Use discretion in screening calls and visitors.Manage and organize calendar.Utilize strong interpersonal and communication skills to interact with employees, clients, and financial professionals.Respond to regularly occurring requests for information and regularly scheduled meetings, including Monthly Business Reviews, Branch/District meetings, and staff meetings.Use experience and knowledge to understand and anticipate administrative needs.Track incoming and outgoing correspondence and reports. Review and route as appropriate; draft responses where necessary.Initiate and assist in special projects involving Microsoft Suite (Word, Excel, and PowerPoint).Maintain files and access filed material in a timely manner when requested.QualificationsRequired QualificationsAssociate Degree or 2+ years professional work experience in an office environment as an Administrative Assistant.Preferred QualificationsDetail-oriented and organized.Able to prioritize workflow with good communication skills.Incumbent will work as part of a team to provide administrative support to the Producer Group.Excellent organizational skills and time management capabilities.Proven success juggling multiple priorities in a heavy workload environment.SkillsCommunicationUnderstanding the importance of insightful listening and communicating, and the ability to provide information and messages in a way that produces clarity and impact.ConfidentialityKnowledge of practices and policies governing disclosure of information about the organization, its business activities, and employees; ability to apply this knowledge appropriately to diverse situations.Managing Multiple PrioritiesKnowledge of effective self-management practices; ability to manage multiple concurrent objectives, projects, groups, or activities, making effective judgments as to prioritizing and time allocation.Project AdministrationKnowledge of project administration best practices and ability to use organizational strategies, practices, and tools for administering projects.Project ManagementKnowledge of effective project management strategies and tactics; ability to plan, organize, monitor, and control projects, ensuring efficient utilization of technical and administrative resources to achieve project objectives.ABOUT EQUITABLEAt Equitable, we’re a team of over ten thousand strong; committed to helping our clients secure their financial well-being so that they can pursue long and fulfilling lives.
