Seeking a full-time Events & Marketing Specialist to join the Canby Area Chamber of Commerce team!

The Canby Area Chamber of Commerce has been supporting our local business community since 1911. We have approximately 250 member businesses with nearly 600 individual employees who support the greater Canby community every day.

We are seeking an Events & Marketing Specialist to add to our team. The ideal candidate will be responsible for planning, coordinating, and executing a variety of Chamber events. This role requires strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously with support from the Chamber staff, Board, and volunteers.

The ideal candidate is an energetic, proactive, self-starter with excellent communication and interpersonal skills. Must be able to lift 30 pounds and carry items up and down stairs.

This hourly position works from 9am – 5 pm, Monday – Friday with 1 hour for lunch from 12pm – 1 pm. Occasional weekends and afterhours depending on events.Required Qualifications:

2-5 years' experience in event planning, marketing, or related field preferred.Minimum of 2 years of experience in event planning and coordination.Proven ability to handle multiple projects simultaneously.Strong organizational and time management skills.Excellent written and verbal communication skills.Ability to work independently and as part of a team.Flexibility and willingness to work some evenings and weekends as needed.Comfortable with public speaking and wrangling volunteers.Able to navigate challenging situations and pivot as needed.Desired Skills:

Experience with customer relationship management (CRM) software.Knowledge of the local business community.Budget development and management.Some cash and accrual basis bookkeeping experience using Quickbooks, Square, Stripe or similar software.Proficient with MS Office Suite desktop and online (i.e. Word, Excel, Power Point).Graphic design skills using Canva, Photo Shop, etc. to build branded content.Familiarity with Survey Monkey, Mail Chimp, Mozeo, Constant Contact, Adobe Acrobat Pro.Experience with ChamberMaster or ChamberMate a plus.Website building or management experience or willingness to learn.Excellent social media skills including Facebook, Instagram, Tik Tok, YouTube, etc.General Duties and Responsibilities:

Supports Executive Director, Chamber staff, Board, and volunteers.Receives, reviews, prepares and responds to e-mails.Answers phones and responds to voicemails.Professional and friendly demeanor when working with customers and community.Keeps a running inventory of furnishings and equipment.Ensures documents and filing are organized and secure at all times.Tracks volunteer time using sign in sheets; prepares monthly reports.Serves on various committees in the community or attends occasional meetings or events outside of regular hours.Maintains office events calendar both in Outlook and on our website.Sends event invitations to key stakeholders ensuring maximum participation.Develop and implement event plans, timelines, and budgets.Oversee event marketing and promotion, including social media and email campaigns.Assist members with questions regarding membership benefits, renewals, and our membership platform.Provide log-in assistance to member platform.Stock marketing materials outside and inside the office as needed.Order office supplies as needed.Stay up-to-date on industry trends and best practices.Creative Work:

Assists in sourcing and creating our annual community guide content.Creates event fliers and graphics for web, social media, and newsletter publication.Drafts bi-monthly newsletter; insert event graphics and adds content.Takes photos and videos at events to post on social media and in publications.Assists with posting branded social media materials.Monthly & Quarterly Board and Foundation Board Meetings:Drafts Board Agenda for Executive Director and prepares past month’s financials for monthly meetings.Emails Board Packets to all Board attendees.Events:

Coordinate with vendors, venues, and speakers for all event logistics.Coordinate with volunteers and staff to ensure smooth event execution.Track event attendance, revenue, and expenses.Evaluate event success and provide post-event reports.Help to boost membership recruitment and retention through event participation.Manage calendars, event registration, ticketing, and attendee communications.Monthly:

Luncheons, Good Morning Canby, First Thursdays, Board Meetings.Occasionally:

Quarterly Foundation Board Meetings, Ribbon Cuttings, The Happy Hour, Other Public Events.Annually:

Golf Tournament, Gala and Auction, Canby Dahlia Run.Works to fill annual events calendar with speakers.Secures venues and ensures necessary equipment is available.Updates agendas, supplies, and equipment.Develops and tracks donation and sponsor lists as needed.Prepares materials and documents for check in.Tracks registered/unregistered guests.Greets and checks in guests.Runs credit cards using Square.Manages event prep, set up and tear down/clean up.Ensures all signage is in place.Oversees events committees.Recruits and manages volunteers; trains as needed.Communicates with community partners on logistics.Runs Chamber tent for First Thursday Events and during the golf tournament.Benefits:

Sick Leave accrued at .033 hours per hour worked (F/T) and .10 hours of accrued PTO per hour worked (F/T). Max two weeks PTO for F/T annually (can be used after 30 days).

Full-time staff will have paid holidays as follows:New Year's Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day and the day after, Christmas Day.

There are also two (2) floating holidays – choose a day from the federal holiday list to take a day off on a day we don’t close the office such as Veterans Day or for a birthday.

Some remote work possible with supervisory approval.
