The office staff provides administrative/customer support along with creative and executable ideas. The director of the preschool also works closely with the office staff.Office/Marketing Assistant Job DescriptionThe specific responsibilities outlined below are meant to be guidelines. This position reports to the Office Coordinator.Responsibilities:Administration

: supports coordination of community-wide calendar; keeping BTEE’s mailing list, email and database current; coordinating school tours; purchasing food, supplies, books and equipment within budget; keeping records organized for the schools and the Temple;Reception:

Welcome families, members, and visitors in person in a welcoming and helpful manner. Answer phones and emails in a timely, professional, and helpful manner.Marketing

: publicizing events; overseeing and updating website and social media; coordinating all aspects of content development, distribution of print and electronic collateral (newsletters, brochures, calendar);Event Coordination

: follows and optimizes internal processes for events, organizes registration for community in-person and online events; supporting event setup/breakdown; arranging for childcare during events;Qualifications and Requirements:2 years minimum of prior administrative experience as an Assistant, or relevant Marketing and Communications role.Knowledge and proficiency in computer skills: Google Suite, Microsoft Office, Excel, PowerPoint, Canva, and CRM database familiarity preferred.Possess exceptional executive functioning skills including time management, organization, planning, goal-setting, and execution.Highly collaborative style, experienced detail-oriented team player able to communicate in a clear, understandable voice to internal/external contacts.Excellent in-person, phone, and written communication skills.A strong track record as an implementer who thrives on managing multiple initiatives concurrently.Ability to prioritize competing needs with a can-do stride in a fast-paced environment.Be an advocate to the community, providing clear information and possessing the ability to connect with diverse constituencies with professionalism and accountability.Communicate respectfully and professionally. Contribute to a healthy team workflow.A high level of interpersonal skills to handle sensitive and confidential situations as well as customer requests and complaints.Ability to self-advocate, offer solutions, and manage expectations of a wide variety of constituents (e.g. clients, clergy, board members congregants, partners, community members)Desired Attributes:Familiarity with Jewish holidays and culture.Friendly, inquisitive, and can-do attitude.Self-motivated, creative, well-organized, and able to work with a minimum amount of supervision in a deadline-driven atmosphere.Tactful and discreet problem solver.Tech-savvy: comfortable learning new software, optimizing the effectiveness of social media platforms and newsletter marketing.Maintains both a practical and creative growth-oriented mindset.Physical Requirements:This position works 20-25 hours with some schedule flexibility, and with occasional weekends and evenings, as needed. Position is in-person and onsite in Burbank, CA. While performing regular duties, you may be required to sit, stand, reach, walk, or kneel, and to lift and/or move up to 15 pounds. Must maintain a valid driver's license, acceptable driving record, and be fingerprinted.Compensation:This is a part-time (20-25 hours per week) non-exempt, year-round position Monday through Friday (evening and weekend hours may be required) with a salary range commensurate with experience ($21-$25/hr).
