The primary function of

University Special Events

is to plan and manage events hosted by senior leadership of the university. At its core, the team is responsible for linking live communications events and special activities to the strategic priorities of the university. Activities include directing donor centric experiences, coordinating multi-unit event projects, managing board and leadership events, and creating opportunities to expand brand awareness.

Our people fulfill the land-grant mission by embracing an interdisciplinary approach to achieve new scientific breakthroughs that translate into commercializable discoveries and meet grand challenges involving food, farming, fiber, feed, families, health, energy, water and the environment.The Senior Event Producer is responsible for coordinating and managing the planning, production and implementation of leadership-level special events for the College of Agriculture and Life Sciences ( CALS ). The Senior Event Producer will coordinate and facilitate a collaborative approach to ensure projects and programs adhere to best practices and protocols of the university. The position will develop events that engage prospects at scale and meet the strategic needs of the university.

The Senior Event Producer will serve as a key advisor to the dean, the assistant dean for advancement, and the advancement team. They will be a highly motivated professional who will be deeply involved in creating an annual events strategy for the college. This position will work within the university’s central event management team and will conceive, design, develop and implement complex events.

The position uses event production best practices and design principles to provide a quality, branded guest-experience for our constituents. This position works with campus partners on risk assessment, volunteer management, vendor management and contracts, and creative directions. Finally, the position will lead efforts to review and analyze event practices and data to evaluate

Reporting to the Assistant Vice Chancellor of University Special Events and Experiences–with a dotted line report to the

CALS

Assistant Dean for Philanthropy–this position will serve as a part of the University Special Events team and will have a work portfolio focused primarily on the College of Agriculture and Life Sciences. The work of the position will support all areas of the university in conjunction with the strategic priorities of University Advancement and the university at large in order to maximize the effectiveness of CALS’ special events.

Duties and Responsibilities:Ability to provide counsel and advice to college leadership related to event goals and execution.Guide and collaborate with internal teams to execute strategic, on-brand events.Plan, design, implement and evaluate event logistics.Ability to perform related administrative duties including coordination with other work units, prepare and manage vendor contracts, monitor activities and assess risk and quality control.Knowledge of local, state and federal regulations and statutes governing the area of work.Advises and prepares briefings (and trainings, as needed) on the event program, guests, logistics, vendors, contracts and other event data.Ability to earn credibility and respect in forming trusting relationships across the university. Open and accessible interpersonal style.Openness to new ideas and their implementation. Ability to react and adapt to changing situations appropriately.Superb organizational skills, excellent communicator, and the ability to work independently.Ability to identify and resolve issues promptly and respectfully.Ability to assess and determine the best protocol for a given situation.Provide timely post-event follow-up, including tracking data and sending/coordinating personalized follow-ups as appropriate.Collaboration with colleagues to help align guests interests with various priorities across campus.Serve as an active member of the assigned college or colleges.Willingness to travel as requested, and attend evening and weekend events.Other Responsibilities

QualificationsMinimum Education and ExperienceBachelor’s degree and one year of experience related to the area of assignment; or equivalent combination of training and experience. Event production experience with a variety of delivery and engagement methods including virtual conferencing platforms, Zoom Webinar and Google Meet a plus.Experience leading a production team—both for virtual and in-person events.Experience with events, marketing and/or donor relations is a plus.Knowledge of principles and best practices in event planningExperience in higher education event management or communicationsAn understanding of the land grant, research Tier One university environmentFamiliarity with NC State University and the TriangleRequired License(s) or Certification(s)
