We are conducting a search for our client, the Eastern States Exposition . The ESE has presented the highest caliber of varied entertainment, agriculture, and recreation to the people of the Northeast US for more than a century, hosting 120 shows and events annually, plus The Big E, currently the 7th largest fair in North America. ****

Position Summary:

The Eastern States Exposition is looking to fill a Marketing Coordinator

position in the Marketing Department, reporting to the Director of Marketing. The person in this role has superior customer service skills, is savvy on the phone, and can balance multiple tasks on a regular basis with accuracy. The Marketing Coordinator position is a dynamic role providing administrative support to the department, supervising the reception and information team, and supporting marketing and public relations projects through writing and editing. The Administrative Assistant must be a creative, critical thinker with a professional communication style and with a welcoming spirit – a positive attitude an customer-first approach is non-negotiable. The person best suited for this role thrives in a busy environment and has a curious mind, eager to grow and learn in a unique environment.

Responsibilities include database management, overseeing the operation of the Front Desk and Information Services, and maintaining Marketing Department finances. The person in this role will also have a keen attention to detail and organization. Writing and editing skills are required. Some evening and weekend hours required for special events, including Hooplandia and The Big E.

Primary Responsibilities:

Copy editor and proofreader for ESE publications and special projects from the Marketing Department as well as other ESE departments.

Maintain media and other department databases in order to organize and execute mailings—press release mailings to media; newsletters; calendars.

Manage Front Desk and switchboard operation. Supervise staff year-round and during the Fair. Hire additional Fair staff. Troubleshoot and make recommendations for best practices in customer service.

Maintain department finances. Track expenditures and maintain detailed budget sheets for each line item. Prepare purchase orders, process invoices. Handle account communications with Finance Department.

Supervise seasonal clerical staff and manage Information Services operation. Schedule staffing, hire workers and produce information packets for Info booth and phone staff.

Manage Golden Ticket holders, serving as first contact for this group. Prepare and distribute Golden Ticket annual perks; coordinate communications and mailings.

Distribute printed promotional items internally and in our community. Supervise Big E brochure printing and distribution operation. Maintain contact with distribution companies for rack placement.

Handle fairgoer complaints year-round and challenges during Fair. Respond to email, phone and in-person communications and communicate with appropriate senior staff to solve problems and serve our guests.

Order department office supplies as well as supplies and commodities needed for department satellite operations—photography, information services.

Prepare work orders and maintain contact with Operations Department

Requirements:

· 3-5 years administrative experience

· Demonstrated writing and copy editing and proofreading skills; working knowledge of Adobe Creative Suite a plus

· Basic bookkeeping/budget management experience

· Positive attitude, customer-oriented with good multitasking and organizational ability

· Superior customer service to embody “The Big E Way” – we are here for the customers

· Project management skills and experience in planning multiple schedules

· Detail oriented, organized, and process-driven

· Self-motivated, highly organized, works well under pressure, and excellent follow-through skills.

· Comfortable working in a PC environment using in Microsoft Office products

· Ability to learn customized computer software

· Able to communicate with professionalism with the public and with all levels of staff

· Extended and weekend hours required during fair events

· Reliable transportation

· Ability to lift or move objects weighing 25lbs.

· Ability to walk, sit and stand for extended periods of time
