Media & Executive Support Specialist

We are seeking a skilled and experienced Media & Executive Support Specialist to join the Foundation. This is a remote hybrid position (3 days in office) and is located in Foster City, CA. This is an 18-month contract that could be extended and comes with benefits.

Position Overview:

Reporting to the Executive Director, the Media & Executive Support Specialist will lead internal and external communications efforts while providing high-level executive administration, project management, and program support. This role is pivotal in ensuring effective communication, coordination, and operational efficiency within the Foundation.

Essential Duties and Job Functions:

Media Management:Strategic Media Planning:

Develop and execute media strategies across both social media and traditional media channels to enhance the Foundation's visibility and engagement.Content Creation & Management:

Create, curate, and manage content for social media platforms and traditional media outlets, ensuring alignment with the Foundation’s goals and brand voice.Campaign Management:

Plan and oversee media campaigns, including social media advertising, print ads, radio spots, and other traditional media efforts.Media Relations:

Build and maintain relationships with media outlets and journalists to secure coverage and manage press inquiries.Performance Analysis:

Track and analyze the performance of media campaigns and communications activities, providing regular reports and recommendations for optimization.

Executive Support:Administrative Support:

Provide overall administrative support, including meeting scheduling, travel arrangements, and expense reporting.Logistics Management:

Organize and manage logistics for internal and external meetings, including preparing agendas, taking meeting minutes, and summarizing project progress in reports.Presentation Development:

Create impactful PowerPoint presentations and other materials for senior leaders and stakeholders.Project Coordination:

Oversee and coordinate project activities, ensuring timely communication and updates across internal functions and external partners.Opportunity Management:

Manage the calendar of key opportunities for external engagements, including speaking events, conferences, and networking opportunities.

Project Management:Small Project Oversight:

Manage small-scale projects such as setting up events, coordinating minor planning tasks, and handling specific administrative projects as needed.Task Coordination:

Plan and execute minor projects by setting timelines, coordinating with team members, and ensuring that all project requirements are met efficiently.Resource Management:

Identify and allocate resources required for small projects, ensuring that tasks are completed within budget and on schedule.Progress Tracking:

Monitor project progress, identify potential issues, and provide regular updates to stakeholders.

Additional Responsibilities:Vendor and Consultant Management:

Oversee contracts and invoicing for vendors and consultants related to communications, media activities, and evaluations.Program Support:

Assist with grantmaking and programmatic activities, providing operational and administrative support as needed.Strategic Planning:

Contribute to the strategic planning process by providing insights and recommendations based on media performance and executive needs.

Knowledge, Experience, and Skills:Communication Skills:

Excellent verbal, written, and interpersonal skills with demonstrated experience working collaboratively with cross-functional teams.Organizational Skills:

Strong organizational skills and attention to detail are essential, with the ability to manage multiple priorities effectively.Decision-Making:

Strong decision-making skills and professional maturity, with the ability to navigate complex environments.Stakeholder Engagement:

Ability to engage with multiple internal and external stakeholders, synthesizing interests and priorities into actionable plans.Technical Proficiency:

Advanced knowledge of office software including Excel, PowerPoint, Word, and Visio.Integrity and Teamwork:

A high level of personal integrity and the ability to work well within a team environment.

Preferred Qualifications:Experience with social media management tools and traditional media planning and buying.3-5 years of Executive Assistant experience
