Job Responsibilities:Event Planning and Branch Calendar CoordinationCoordinate all activities associated with smaller events such as happy hours and dinners.Includes venue research and selection, meal and activity planning, invitations/registrations/RSVP/reminders/confirmations, photos of event, and information for website & social media posts or inclusion in publicationsWork with teams to coordinate visit schedules with regional and home office leadership. Serve as a liaison between contract and commercial underwriting travel planning.Assist with team events for associates - Holiday parties, team building etc.Marketing Communications & PromotionsCoordinate relationship development communications and promotional material delivery to agents and agency staff on behalf of the underwriting team or marketing.Coordinate On-Demand Promotional Materials ordering and delivery to trackingCoordinate delivery of personalized gifts as directed.Order and maintain an inventory of promotional and business brochure items.Data Management & MaintenanceProvide quarterly reporting and insights on marketing activities.Maintain agency and agent contacts including title, roles, demographic and background information.Collect and maintain competitive intelligence information.Monitor and help maintain contractor contact information, roles, demographic & background information.Upload photos/videos and properly tag to asset management system.Marketing Visit SupportCoordinate brochures and any business materials orders.Schedule and coordinate meetings and travel as directed, and ensure proper follow-up with Salesforce notes, action items, and reminders.Provide demonstrations and online training to agents and agency staff.Territory ResearchAssist in identifying potential new business opportunities.Seek construction professional associations and research options for advertising, sponsorships, providing articles or training.Qualify possible new agencies.Web/Social Posts & Publication ItemsSupply quarterly items for various media.Help coordinate posts, likes and shares for underwriters.This position may post approved content as directed to corporate websites and/or social media.Industry/Public RelationsAssist with identifying and maintaining news and industry contacts.Send approved material to news and industry contacts.Assist with maintenance of historic files.Qualifications:Education and Experience:High school diploma and 1-3 years of related work experience in a support role in a sales, marketing, or business development role.Skills and Knowledge:Organized, proactive and conscious of deadlines.Attention to detail and thorough. Ability to identify potential opportunities and take swift appropriate action.Customer service oriented.High level of confidentiality.Proficiency with Microsoft Office Suite applications, basic knowledge of online and email content management systems; Proficiency with PC and Mac hardware and peripherals. Ability to operate a variety of office equipment including copiers, and telephones. Salesforce a plus.The employee may travel up to 5% of the time by air or car to other office or business locations. Must have occasional evening availability to attend or coordinate events.Essential Functions:This role requires the ability to communicate clearly with people by email, phone and in-person for a variety of different tasks with a first-class experience approach. The associate must be a highly organized coordinator, with strong attention to detail and deadlines. They need to be able to maintain accurate files and documents. Must have ability to quickly learn various software platforms.Must be self-reliant and motivated with the ability to own a project to completion and coordinate effectively.
