OVERVIEWThe LightHouse for the Blind and Visually Impaired is seeking a dynamic and mission-driven Program Coordinator to be the connection between students and service delivery through the coordination of group classes and individual student scheduling across all LH campuses. This person will have a high social emotional intelligence and will be able to meet people where they are. This role reports to the Senior Director, Instructional Design and Applied Learning.

The Instructional Design and Applied Learning department is responsible for developing and maintaining templates for all LightHouse courses, ensuring their seamless integration into the appropriate LH departments. This includes identifying and developing practicum sites to provide hands-on training opportunities and overseeing their management to meet educational standards. The department manages the employment readiness programs, such as YES Academy and YES Weekends, which include workshops on computer basics, business writing, and professional attire (Dress for Success). Additionally, it develops and manages the master schedule for all LH courses, conducts pre and post assessments to measure student progress, and collects course evaluations to continuously improve curriculum and instruction. Regular program evaluations and reporting are conducted to ensure effectiveness and compliance with standards. The department also manages the integration of purchased curriculum resources into the learning management system, ensuring it meets the needs of students and staff.

QUALIFICATIONS:

Bachelor's degree preferred in Education, Rehabilitation or related field. A preference of an associated degree in a social science field, certified rehabilitation counseling degree, or equivalent.

Minimum 2 years' experience in working with students who are blind and have concomitant health conditions, disabilities including but not limited to deafness/hearing loss, stroke, Cortical/Cerebral visual impairment, etc. Subject matter expert knowledge of the expanded core curriculum. Experience working with the blind/DeafBlind/disabled community strongly preferred.

Preference for candidates with experience working with students who are blind and have concomitant health conditions, disabilities including but not limited to deafness/hearing loss, stroke, Cortical/Cerebral visual impairment, etc. Subject matter expert knowledge of the expanded core curriculum.

Knowledge of FASA and other academic documents students must complete.

Thorough understanding of DOR Pre-ETS and the breadth of skills related to developing solid blind skills as they connect to job skills

Bicultural and bilingual welcomed, particularly in languages like American Sign Language, Spanish, Cantonese, Mandarin, Russian, Tagalog, or Vietnamese.

Must comply with HIPAA regulations in all communications and handling of documents.

Ability to handle sensitive information with conscientiousness and respect.

Excellent verbal and written communication skills

A high level of social-emotional intelligence, demonstrating patience and empathy.

Strong interpersonal skills to relate to staff, blind/visually impaired students, and persons in the community with varied backgrounds and viewpoints.

Strong coaching skills, including positive problem solving and professional communication.

Ability to formulate individual, sequential training plan.

Ability to move about within a variety of environmental conditions.

Demonstrated attention to detail.

Flexibility, ability to multi-task and work independently

Grant and project oversight abilities.

Experience in database entry. Salesforce or other database experience is a plus

Proficient in MS Office suite of software (Word, Excel, Outlook, PowerPoint, OneDrive, SharePoint, etc.).

Knowledge of Zoom or other web conferencing platforms.

Willingness to learn new agency computer programs.

Maintain up-to-date First Aid and CPR certifications, to be paid for by LightHouse.

Knowledge of braille desired.

JOB RESPONSIBILITIES:

Group Training and Classes Support

Coordinate all aspects of group courses, including database management, calendar scheduling, student enrollment, course set up and instructor coordination.

Accurately input student data into Salesforce and any relevant Electronic Health Record systems (EHR) in a timely manner.

Individual Training Support

Collaborate with other Program Coordinators for student sign-ups for LightHouse programs.

Accurately input student data into Salesforce and any relevant Electronic Health Record systems (EHR) in a timely manner.

Whole Person Care Collaboration

Collaborate with Service Navigators, Intake Coordinators, and the direct service team to ensure service provision in line with the student's individualized service plan.

Collaborate with Service Navigators in the coordination of both internal and external service authorizations.

Make schedule reminder calls for new student appointments, including for new student orientations and baseline assessments.

Work with department directors and program managers to ensure students have been contacted within a timely manner and document status of student participation.

Serve as support to Intake Coordinators as needed

Community Education

Collaborate with Community Education team to build and send regular listserve of LightHouse programs to community support providers

Maintain list of county community support providers throughout California

ASL and Spoken Language Interpretation Coordination

Manage the ASL and spoken language resources need for the Connections department, to include scheduling of interpreters and processing of vendor invoices.

Equipment Coordination

Assists Directors with purchasing office supplies, program supplies and equipment.

Coordinates student equipment and supplies, ensuring accessibility (Large Print and Braille) and organization.

Administrative Support

Provides administrative assistance to Directors and Service Providers, particularly related to MS Office and Database Management.

Helps Directors maintain Department Sharepoint site and create accessible documents.

Attend monthly Connections Staff meetings.

Grant Tracking and Billing

Creates Salesforce Reports for Directors to track various grants to help monitor progress.

Manages procurement and billing for the SCAN Health equipment grant.

Prepares monthly reporting and/or billing for the OIB (Older Individuals who are Blind), AB2480, 5310, and DAS grants.

Ensure entry of all student service data into Salesforce and other relevant systems within 5 days of service date.

Submit monthly reporting, billing, and reimbursements accurately and timely by the 5th business day of the month.

Willingness to perform other related duties as assigned.

PHYSICAL REQUIREMENTS:

Ability to carry or transport 20lbs

Sit/Stand at a desk and perform computer-intensive work for extended periods of time daily.

Ability to operate standard office equipment.

Must be able to independently travel to all LightHouse physical locations and events, as well as throughout Northern California up to Eureka, to provide services as needed.
