Summary:

Responsible for end-to-end project management of large, multi-faceted campaigns and projects on behalf of assigned Brand Marketing, Commerce Marketing, and Corporate clients including packaging, brand activation, POS, digital engagement, video, and print. Operates as a direct point of contact with Brand and Commerce Marketing teams to scope and initiate incoming project work, applying understanding of the industry, consumers, channels, and brands to drive business outcomes. Demonstrates mastery of all aspects of project management: sequencing, scheduling, resourcing, assigning tasks, trafficking deliverables, and managing budgets. Contributes to the advancement of trusted, valued partnerships with clients and colleagues across Gallo.

Core accountabilities of this position:

Stakeholder Engagement: Designated as the primary liaison between assigned clients and Gallo Creative.

Cross-Functional Collaboration: Enabling the smooth flow of information and fostering collaboration among the resources needed for project success.

Project Management: End-to-end management of assigned projects—on time, on budget, and on strategy.

Stakeholder Engagement:

Partners with clients to implement smart, successful strategies and solutions in support of business objectives.

Participates in project scoping meetings with clients and Gallo Creative team members, effectively summarizing project requirements to ensure alignment with planned approaches and related deliverables.

Actively participates in Agile and/or Scrum teams and ceremonies, prioritizing work, communicating dependencies, identifying and articulating tasks, timing and resources, and reconciling backlogs.

Strengthens client partnerships by ensuring service-level expectations are consistently met—specifically, that all assigned projects are delivered on time, on budget, on strategy, and with excellence.

Surfaces new business opportunities with clients, working with Client Partnership team lead to pursue those opportunities to advance Gallo Creative’s reputation, position, and cost-recovery objectives.

Cross-Functional Collaboration:

Works collaboratively with creative, video, photo, production, and operations colleagues to scope and shape creative concepts and executions to enable desired business outcomes.

Works with cross-functional colleagues to prioritize incoming project work, negotiating and making modifications as needed to ensure Gallo Creative resources are appropriately assigned and effectively utilized.

Actively communicates with project team participants across workgroups to ensure continuous alignment on project intent, deliverables, and timing as the course of the effort unfolds.

Engages colleagues within Gallo Creative in ongoing identification and implementation of process improvements to increase operational efficiency and team effectiveness.

Partners with functional leaders to positively influence cross-functional team performance and operational efficiency.

Project Management:

Combines business, brand, and marketing communications acumen to guide the scoping, initiation, and execution of sound creative strategies and solutions on behalf of assigned clients.

Organizes, manages, prioritizes, and accountable for project workflows from initiation and creative development through production and delivery/go live.

Facilitates a rigorous and efficient approval process, ensuring that clients and Gallo Creative team members are apprised, engaged, and accountable to meet dates as reflected in project schedules.

Actively drives projects to successful completion by anticipating and eliminating impediments.

Demonstrates compliance with workflow processes and project management practices (scheduling, tracking and reporting) on behalf of assigned clients, as well as:

Ensuring brief are reviewed and projects are appropriately scoped with clients in advance of initiating work,

Ensuring accurate project categorization and cost estimates,

Regularly tracking project budgets and creative resource investment to ensure onbudget delivery,

Ensuring project initiation, scheduling, and accounting practices are followed,

On-going trafficking of active projects as well as discrete project deliverables,

On-going prioritization of project deliverables, especially when scheduling/resource conflicts occur,

Regular communication with clients including project status updates, meeting summaries, expense tracking, etc.

Makes thorough, timely entries and workflow-related updates in designated project system(s), updating tasks, logging hours and uploading required documents as required.

Maintains satisfactory attendance, to include timeliness.

Responsible for understanding and complying with applicable quality, environmental and safety regulatory considerations. If accountable for the work of others, responsible for ensuring their understanding and compliance.

Minimum Qualifications

Bachelor’s degree plus 6 years of marketing communications, advertising, marketing/creative agency, digital, account management, or lean six sigma experience reflecting increasing levels of responsibility; OR Bachelor’s degree plus 5 years of Gallo brand marketing, corporate communications, sales account management, creative design, hospitality, or media/digital marketing reflecting increasing levels of responsibility; OR high school diploma or state-issued equivalency certificate plus 8 years of marketing communications, advertising, marketing/creative agency, digital, account management, or lean six sigma experience reflecting increasing levels of responsibility.

Two (2) years’ experience working independently to manage projects and/or campaigns.

Ability to partner one-on-one with clients to scope business needs and formulate project plans that effectively meet those needs.

Mastery of all aspects of project management including detailing the scope, steps, sequencing, timing, and resources required to fulfill each project.

Ability to work independently to manage complex projects and campaigns start to finish, ensuring projects are developed and delivered on time, on budget, and on strategy.

Ability to think strategically and creatively, while working in collaboration with others.

Demonstrate a continuous improvement mindset, streamlining project processes to ensure nonvalue-added steps are eliminated and team workflow practices are efficient and effective.

Experience working as part of a multi-functional marketing and/or communications team including creative design, copywriting, video, photo, and/or production services.

Customer oriented with exceptional organizational skills, attention to detail, QC abilities, and follow-through.

Ability to manage multiple concurrent projects while shifting priorities in response to changing business needs.

Strong written and verbal communication skills, as well as meeting planning and leadership, conflict-resolution, and relationship building skills.

Demonstrated proficiency with Microsoft 365 productivity apps including Microsoft Teams, Word, Excel, PowerPoint, and Outlook, as well as other cloud-based systems.

Required to travel to company offices, sites, and/or meeting locations for onboarding, training, meetings, and events for development, department needs, and business delivery up to 5% of the time, with or without reasonable accommodation. This may be in addition to travel requirements, if applicable, as listed in this job description.

Required to be 18 years or older. This may be in addition to other age requirements, if applicable, as listed in this job description.

Preferred Qualifications

4 years of project management experience across print and digital.

Bachelor’s degree plus 8 years of marketing communications, advertising, marketing/creative agency, digital, account management, or lean six sigma experience reflecting increasing levels of responsibility; OR Bachelor’s degree plus 7 years of Gallo brand marketing, corporate communications, sales account management, creative design, hospitality, or media/digital marketing reflecting increasing levels of responsibility.

PMP certification from a recognized professional project management training organization.

Experience managing multi-media marketing communications.

External agency experience—specifically, managing complex projects on behalf of assorted clients.

Strong sense of marketing, messaging, design, and production principles across print and digital.

Experience with online and in-person retail, POS, brand marketing, and B2C sales.

Experience using an automated workflow system to monitor and manage projects.

Experience working on Scrum or Agile teams.

Compensation

Hiring Salary Range: $98,000 - $147,000/Year

Actual compensation amount paid may be lower or higher to be determined by factors other than race and gender such as the education, experience, knowledge, skills and abilities of the applicant, internal equity, and alignment with market data.
