Under the guidance of the Assistant Dean for Advancement, this position provides administrative support for a high-performing and collaborative advancement team.This position will work on a broad array of administrative duties that are variable and sophisticated in nature and is tasked with exercising a high level of discretion and confidentiality, especially as it relates to assigned responsibilities with donors, faculty, staff and other constituents. Accountability for the division's commitment to these values is established through specific individual and team goals that evaluate progress and growth.What Your Key Responsibilities Will BeAdministrative SupportPick up, sort and distribute mailDraft and send routine correspondence, including mail merge correspondence.Initiate, schedule and coordinate internal and external meetings for the CMCI advancement team. Reserve rooms and facilities.Document and maintain records of Advancement procedures and processes.Maintain office equipment, resolve IT issuesCollaborate with department communication teams, CU Boulder Alumni Association and other schools, colleges and units on Forever Buffs Network efforts.Serve as a liaison between the CMCI advancement team and various internal and external constituents. Research and gather information on various topics as necessary and expedite the flow of information to staff.Other administrative support duties as assigned.Proactively engage with the division's Administrative Team (A-Team) and attend scheduled meetings.Prepare and submit expense reports; prepare purchase requisitions for various office needs; maintain office supply inventory.Other duties as required.Donor Database ManagementMaster donor database (CU Ascend & Advancement Intelligence).Apply data from donor database to create requested reports, spreadsheets, mailing lists and donor correspondenceTrack and enter events and attendees into donor database. Enter contact reports for frontline fundraisers when requested.Manage entity record updates and work to ensure accurate data for CMCI constituents, correcting errors when identified.Update donor database with notes, strategic plans and tasksAssist other team members with using the donor database.Gift ManagementProcess donor checks and gifts.Work with CU Foundation, Gift Administration and appropriate internal parties to coordinate and complete all tasks related to funds, gifts and gift agreements. This includes requesting draft agreements, routing agreements for approval and following up, submitting new account forms, and advising the appropriate people of fund/gift details once completed.Identify, research and/or resolve issues or discrepancies regarding donations, fund transfers, and new gift funds.Enter and update proposals, links gifts to proposals, and manage modifications as needed.Run weekly acknowledgment report and review for errors (check unusual spelling/capitalization and names, fix any errors identified in Ascend), generate appropriate acknowledgments and work with dean's assistant to arrange signingAdvise department chairs, center directors and special fund managers of new gifts on a monthly basis.Event SupportProvide event support and preparation as necessary.What You Should KnowThis position is in a hybrid work situation; Thursdays will be worked on campus, and periodically, Wednesdays will be on-campus as well. Training will be on campus.This is a temporary, part-time position 24 hours per week, ideally worked over three eight-hour days, anticipated to last until mid-April 2025.
