The employee is expected to work in a multi-cultural, diverse working environment. Typical Duties This description is intended to indicate the types of duties and responsibilities requested of the employee assigned this title. It is not intended to be an exhaustive list of all the duties and responsibilities that may be required: Prepares, proofreads, and distributes correspondence, forms, memos, notes, labels, information packets, etc. Sorts and files material using various methods (e.g., alphabetically, numerically, by subject matter, by other system or code, etc.) Answers and screens telephone calls, takes messages, schedules meetings and appointments. Assists students and/or employees as needed (e.g. completing forms, giving directions, explaining college procedures, posting notices, etc.). Compiles information from various sources, including budgetary information. Utilizes college wide computer system to prepare, enter, and process faculty load documents for full time faculty and part time instructors. Attends meetings and records minutes, as needed; prepares and distributes minutes, as appropriate. Creates and maintains spreadsheets and databases, as needed. Prepares annual schedule for distribution and enters, proofreads, and corrects college class schedule as determined by the college. Obtains information to assist college administration in resolving faculty, staff, and student concerns and issues. Prepares, enters, and processes faculty, adjunct, and part time instructor paperwork (e.g. new hire packet, step movement, absences, etc.). Orders supplies and equipment with appropriate approval. Operates office equipment (e.g. photocopier, calculator, telephone, typewriter, computer and any other equipment utilized by the College); maintains and cleans equipment and arranges for service of equipment, when necessary. Trains and directs college student personnel, with appropriate approval. Performs related tasks, as assigned. Ability to work additional hours, as needed. Minimum Education and Experience EDUCATION: An earned Associate Degree or higher in Administrative Support Technology (AST), Business Administration, Business Information Systems or Computer Information Systems. -OR- Any Associate Degree or higher with successful completion of 16 college credit hours in Business Administration (BUS 1100, BUS 2030, BUS 2530, MKT 2520, ACC 1800, ACC 1810, ACC 1820 and CIS 1050), Business Information Systems or Computer Information Systems. -AND- EXPERIENCE: Four (4) years of secretarial experience with demonstrated ability to take minutes as well as demonstrated customer service experience.
