Provide administrative support to Library Business Manager, Executive Director, and LIS Department Chair, as well as Library faculty and staff. Collaborate with director of School Library Endorsement program and Outreach. Perform a variety of clerical duties including word processing, manage budget accounts, organize multiple events, and process travel for all library faculty and staff. Maintain student records, complete all hiring paperwork, and process student payroll. Supervise student administrative assistant. Preserve library records. Process all travel requests and reimbursements for the library. Purchase supplies for all library departments and areas. Perform all sales and fulfillment for SUU Press including ordering and retaining an inventory of books in the catalog.


Duties and Responsibilities:

  • Serve as point of contact for library the library's administrative office and as backup for Library Business Manager. Provide administrative support to the Department of Library and Information Science (LIS). Work with department chair to schedule courses, create reports and assign/manage faculty duties. Support the director of the online Library Media Endorsement program to create course schedules, assign/manage faculty duties, track students, arrange student teaching/mentors, maintain retention/graduation data, and communicate with students and faculty to create a seamless, online, educational experience.
  • Serve as a member of the Library Administration Team. Manage LIS department budgets and grants/contracts. Assist Honors Program with administrative and budgetary tasks when needed. Oversee CONNECT grants, budgets and reimbursements. Manage and maintain records for hiring and other essential HR processes. Manage travel authorizations /reimbursements for faculty and staff and process EPAFs for adjunct and overload faculty contracts. Supervise library administration student employee(s) and manage hiring and payroll processing for all library student employees.
  • Provide administrative and budgetary support for library areas outside LIS including, but not limited to Marketing, Outreach, U/X, Scholarly Communication/SUU Press, University Archives/Special Collections, Networking, events, etc.
  • General office duties including computer applications (Word, Excel, Banner, Argos) and file storage maintenance.
  • Serve as the sales representative of the SUU Press and assist with book set up and ISBN assignment.
  • Interact with a consistently positive, professional attitude and rapport with administrators, faculty, staff, students, and the public.
  • Other duties as assigned.

Education and Experience Requirements:

Minimum Qualifications

  • Graduation from a standard high school and two-year secretarial certificate or equivalent recent work experience required.
  • Computer applications to include Microsoft Suite required, Google docs.
  • Eye for details and excellent proof-reading skills.
  • Experience with accounting and purchasing practices and principles.
  • Must be a self-starter with the ability to handle multiple tasks, high stress situations and follow tasks through to completion.
  • Excellent people skills to deal with a diverse group of individuals; team player.
  • Utilization of computer word-processing, and spreadsheet software.

Preferred Qualifications

  • Ability to use SUU Banner system and Argos reporting software preferred.
  • History of dependability, reliability, initiative, neat appearance, outgoing personality, and common sense.
  • Priority given to experience in an office setting.
  • Desktop publishing preferred (i.e., Adobe InDesign, etc.).
