Associa is hiring an Onsite Community Manager for an HOA community inMechanicsville, VA.
Work Hours:
Monday - Friday, 8am - 4pm.
Friday, 8am - 12 noon.
Daily tasks:
- Meet and greet homeowners, vendors, and contractors.
- Manage incoming calls and emails.Research and respond in inquiries.
- Data enter homeowner and community information in the database. Update as required.
- Issue key fobs.
- Maintain reservations for Club House use.
- Attend Board Meetings and take minutes.
- Submit weekly Activity Report to the Board of Directors.
- Manage all communications to homeowners. Mass email via internal software system, community news and events, update on maintenance projects, and reminders of HOA Rules and Regulations.
- Walk and inspect community to ensure Code and Compliance and the HOA Rules and Regulations are followed.
- Create and send out HOA Violation letters. Follow-up to ensure violations were corrected.
- Schedule and coordinate maintenance vendors and contractors onsite.
- Submit RFPs, review proposals, offer recommendations, and manage the bidding and vendor selection process.
- Facilitate architectural review and modification forms. Work with ARC Committee and Board Members.
- Other duties as assigned.
- 2+ years of community association experience.
- Understanding of the relationship among homeowners, Board of Directors, and the Association management company.
- Customer service driven and team oriented.
- Consultative approach when assisting others.
- Excellent communication and follow-up skills (written and spoken)and conflict resolution techniques.
- Self-motivated, proactive, and takes initiative.
- Effective project management skills; ability to prioritize and manage multiple projects in various stages of completion and communicate with all parties involved.
