Job Summary: This individual is responsible for coordinating outreach programs, acting as liaison with all clinical staff to ensure scheduling coincides with scheduled programs, typing all written communications generated by supervisor.
Education and Experience:
- High school diploma or equivalent.
- One year medical marketing experience.
- Fluency in Spanish and English.
Essential Skills and Abilities:
- Articulate communication skills.
- Strong organization with attention to detail.
- Computer literacy.
- Knowledge of Microsoft® Word and Excel.
- Professional appearance.
RESPONSIBILITIES:
1. Screening Preparation
- Prepares all flyers advertising the event for supervisor’s approval.
- Prepares patient questionnaires for screenings.
- Brings all approved flyers to post office and mails according to instructions.
- Ensures all necessary supplies are available for use at screening, including educational materials, forms, practice brochures, clinical supplies, etc.
- Arranges for all refreshments and promotional gifts to be available in adequate quantities.
- Notifies necessary clinical staff, clinical director, and office manager on a timely basis of all upcoming events to ensure proper staffing.
- Ensures the availability of all necessary diagnostic equipment.
- Ensures the availability of all necessary audio-visual equipment and materials.
2. Screening Participation
- Coordinates proper placement of all displays, technical equipment, audio-visual aids, and patient educational materials.
- Participates at marketing booth during event or has scheduled coverage.
- Participates in patient counseling and appointment scheduling.
- Maintains records of all patient appointments, transportation needs, and referrals generated at screenings.
3. Screening Follow-Up
- Confirms all appointments made at screenings.
- Calls all no-shows to reschedule.
- Inputs all outreach generated patients on computer.
4. Administrative
- Receives all calls regarding marketing.
- Prepares all correspondence.
- Tracks all patients generated by marketing department.
- Obtains reports from billing supervisor and surgical coordinator showing revenues and surgeries generated by marketing department, on a monthly basis.
- Recalls all no-show patients generated by marketing department until they reschedule.
- Coordinates with surgical coordinator for referral of patients to clinics for preoperative approval.
5. Other Responsibilities
- Attends holiday parties at referring facilities as representative of the practice.
- Serves as back-up for phones, filing, and copying, as needed.
- Serves as back-up for Lasik calls and Lasik coordinator as needed.
