SCOPE OF WORK + TERMS


TITLE: 2025 Closed Events Producer

PRIMARY CONTACT: Production Manager

TERM: Contract January 15, 2025 - March 14, 2025

LOCATION: Charleston, SC *most of this contract will be remote, but in-person participation will be required for certain portions

CONTRACT FEE: $2,700 to be paid in installments

This fee is all-encompassing, and Charleston Wine + Food will not reimburse for any additional expenses unless previously negotiated and outlined in this contract.


OVERVIEW:

The Closed Event Producer's role is primarily, but not limited to, executing all responsibilities associated with production of their assigned events for the Charleston Wine + Food festival.


CLOSED EVENTS:

  • Amuse Bouche: A Party for our Partners | Wednesday March 5th 5:30PM - 7:00PM
  • Partners in Government | Thursday, March 6th 5:30PM - 7:00PM
  • Media Luncheon | Friday, March 7th 12:00PM - 1:30PM

PRINCIPAL ACCOUNTABILITIES:

PRE-FESTIVAL

  • Input rental + tenting orders
  • Input signage orders
  • Book all design elements that fit mood board
  • Ensure all production, logistics, food, and beverage needs are taken care of
  • Review and finalize one-sheet, including run-of-show for day-of production
  • Work with Development, Executive, Marketing, and Experience teams to learn about goals of events and special guests attending
  • Make changes within provided information to ensure that all information pertaining to events stays up-to-date and accurate. Flag any necessary changes to Production Manager

FESTIVAL

  • Oversee signage installation and design moments
  • Be onsite to act as Event Lead throughout the entirety of events, including set-up + breakdown
  • Ensure that all rentals, decor, and logistical needs are set-up following the layout and mood board
  • Follow through with venue contract or Host Partnership Agreement restrictions
  • Activate applicable Partner footprints as directed
  • Ensure check-in process is flowing as needed
  • Troubleshoot any unexpected needs or desires expressed by participating Partners
  • Clearly communicate and confirm if moving into contingency plans by week prior deadline
  • Ensure cleaning plan is followed
  • Manage and implement one-sheet, run-of-show, and additional applicable documents at events
  • Act as main day-of liaison for all vendors, volunteers, and participants assigned to events
  • Oversee load-in and load-out

IMPORTANT DATES + DEADLINES:

  • Onboarding: Scheduled on a rolling basis as hired. Can be virtual or in person
  • Attend key organizational dates and events:
    • Read-Through January 23rd of 24th
    • Festival: Wednesday, March 5th - Friday, March 7th

REQUIREMENTS

  • 5+ years of experience in event or festival production featuring food + beverage
  • Ability to do some physical work including lifting boxes and field set-up
  • Act as a brand representative of Charleston Wine + Food and portray our values of people first, community, diversity, and good stewardship
  • Must provide cell phone and be available for contact during event
  • Must provide own transportation to event
  • Must clearly communicate with full team, upon hire, hours/days that are dedicated to Charleston Wine + Food
  • Must be organized with diligent attention to detail
  • Ability to multi-task and work proactively
  • Ability to work collaboratively with a variety of people
  • Comfortable working in an outdoor setting, including rain, cold, mud
  • Plus: Beverage or Culinary experience, fine dining experience
