Mix Outdoor is a dynamic startup in the Out-of-Home (OOH) advertising industry. We specialize in creative advertising solutions, starting with inventory in Los Angeles. As we expand, we’re looking for a talented and proactive Administrative Manager to join our team and help shape the operational backbone of our business.
Position Overview:
The Administrative Manager will be a key player in supporting our day-to-day operations, ensuring efficiency and organization as we scale. This role is hybrid, with a combination of remote and in-office work. Please note that the number or required in-office days may be adjusted based on business needs. This role is perfect for someone who thrives in a startup environment, wears multiple hats, and has a passion for making things run smoothly.
Key Responsibilities:
- Oversee daily office operations, including scheduling, correspondence, and general administrative tasks.
- Manage and maintain inventory records, vendor relationships, client contacts, and contracts.
- Support with calendar management, meeting preparation, and follow-ups.
- Handle and monitor RFPs (Request for Proposals) with clients.
- Develop and implement processes to improve operational efficiency.
- Coordinate with marketing and sales teams to ensure smooth execution of client campaigns.
- Handle incoming inquiries and maintain professional communication with clients and vendors.
- Monitor and order office supplies, ensuring the team has what they need to thrive.
Qualifications:
- Proven experience as an Administrative Manager, Office Manager, or similar role.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office and Google Suite
- Financial literacy, including basic accounting and budgeting.
- Adaptability and a proactive approach to problem-solving.
- Experience in advertising, media, or a startup environment is a plus but not required. We will train you!
- Self-motivated and proactive, with resilience, composure, a positive attitude, and the ability to grasp new concepts with ease.
