Job Description
Principle Focus: The Coordinator of Communication & Administrative Support is a partner in the ministry, providing communication to the whole congregation, administrative support to the staff, volunteers, small groups, and committees, and offering the first impression of the church’s welcome and hospitality.
Immediate Supervisor: Lead Pastor
Requirements:
Associate degree in business administration (preferred) with 2 years administrative assistant experience or equivalent.
Expertise in the use of database applications and software including QuickBooks, Google Docs, Sheets, Meet, Slides, Forms, Microsoft Word, Excel, Publisher, and PowerPoint.
Clerical abilities, financial knowledge, and experience in an administrative office setting.
Must pass a background check.

Faith in Jesus Christ and a willingness to understand the basic administration and mission of The United Methodist Church.
Commitment to Onalaska UMC mission, vision, values, and ministry plan.
Ability to work in a team environment.
Maintain confidentiality.
Exceptional competency in detail-oriented organization, deadline driven time management, excellent verbal, written and grammar, and strong interpersonal skills.
Knowledge and experience with financial bookkeeping and accounting.
Ability to manage multiple competing priorities.
Ability to work with people from diverse backgrounds.
Ability to create a welcoming, hospitable environment, working well with staff, volunteers, members, and community people.
Ability to maintain a neat, clean, organized, and professional office environment imparting an air of professionalism.
Ability to maintain, operate, and order supplies for all office equipment including, but not limited to voice mail systems, copiers, and paper folder.
Sustain organization throughout storage, office, work room, and general use areas.
Ability to use or learn various communication platforms including WordPress, Mailchimp, Instagram, Facebook, Canva, SignUp Genius, QR Code Creator, and others.
Adhere to office hours.
Regular Duties:
Serve as a communication hub for the church including phone calls, incoming and outgoing written and email correspondence, ministry registration, payments/gifts, vendor contacts, etc.
Prepare weekly Sunday and special worship service bulletins, PowerPoints, inserts, announcements, and support documents. Administer worship volunteer lists.
Maintain and update church databases related to membership, guests, offering envelope mailing, and other lists.
Prepare and process bills and payroll for payment on a determined schedule.
Maintain and update church website and social media as necessary.
Maintain a master calendar of meetings and events for church.
Recruit, train, and utilize volunteers for appropriate tasks to support the role.
Participate in staff and other meetings as required.
Send committee agendas and minutes as requested.
Prepare a periodic newsletter.
Send financial giving statements as scheduled.
Prepare reports as required for The United Methodist Church and the Wisconsin Annual Conference.
Prioritize and coordinate equipment, facility repairs, and maintenance as needed.
Control office supply inventory and order supplies as needed.
